Job Title: Virtual -Executive Assistant
Location: Fully Remote (UK time zone)
Hours: 30–40 hours per week, spread across all days where necessary
Salary: £28–£34 per hour (depending on experience)
Contract: Perm – part time

Our client is a a leading investment search firm specialising in senior-level appointments across private equity, venture capital, asset management and related financial services sectors. They pride themselves on their deep market knowledge, research-driven approach and long-term client partnerships.
As they continue to grow, they are seeking a highly organised and proactive Virtual Executive Assistant to support senior leadership and ensure the day-to-day operations of the business run seamlessly.
Role Overview
You’ll act as the organisational backbone of the firm — providing high-level executive, administrative and operational support to our partners and consultants. The ideal candidate will be comfortable working autonomously in a fast-paced environment, have exceptional attention to detail and ideally bring previous recruitment or executive search experience.
Key Responsibilities
Executive Support
- Manage complex and dynamic diaries across multiple time zones.
- Schedule and coordinate internal and external meetings, interview
Operational & Administrative
- Maintain accurate records, databases, and CRM systems (e.g., Invenias, Bullhorn, or similar).
- Track pipeline progress, candidate submissions, and client deliverables
- Support proposal preparation and pitch materials.
- Liaise with clients, candidates, and external stakeholders in a professional, timely manner.
Communication & Coordination
- Assist in managing inboxes, drafting responses, and prioritising correspondence.
- Support creation of reports, presentations, and client updates.
- Ensure all communication reflects the firm’s professional brand standards.
Recruitment Project Support (Preferred)
- Conduct light candidate research and data entry into CRM systems.
- Manage interview scheduling and candidate communication.
- Coordinate reference checks and candidate documentation.
Key Skills & Experience
Essential:
- Proven experience as an Executive Assistant, Personal Assistant or Operations Coordinator.
- Strong organisational and multitasking skills with the ability to prioritise effectively.
- Excellent written and verbal communication.
- High attention to detail and commitment to accuracy.
- Strong proficiency with Microsoft Office / Google Workspace, Zoom and CRM systems.
- Self-starter who thrives working independently with minimal supervision.
Preferred:
- Experience in recruitment, executive search, or professional services (e.g., consulting, financial services).
- Familiarity with candidate management platforms (Invenias, Bullhorn or similar).
- Understanding of client/candidate life cycles in an executive search environment.
