As a Personal Assistant to C-Suite, you will play a key role at the centre of the business, providing seamless, high-level support in a fast-paced and dynamic environment. You will act as a trusted partner, ensuring their time, priorities and communications are managed with precision and discretion. You will work closely with senior stakeholders across the organisation.

This role requires exceptional organisation, sound judgement, and the ability to operate with absolute confidentiality. You will be confident making decisions, handling sensitive matters, and representing the C-suite office with professionalism and credibility.

 

Key Responsibilities

Diary & Schedule Management

  • Own and manage complex, ever-changing diaries with multiple stakeholders
  • Ensure proactive planning and anticipate problems
  • Coordinate meetings with direct reports, including scheduling and holiday approvals
  • Maintain excellent relationships with all other PA’s in the business

 

Meetings & Communications

  • Arrange Board meetings, ad hoc executive calls, and key stakeholder sessions
  • Coordinate shareholder, banking and and announcements
  • Schedule and support Townhall meetings in collaboration with Internal Communications
  • Prepare and manage business updates and briefing materials

 

Travel & Logistics

  • Organise extremely complex international and domestic travel, including itineraries, documentation, and check-ins
  • Manage visa applications and ensure all travel documentation is accurate and up to date
  • Coordinate overseas suppliers and international business trips where required
  • Track and manage travel-related administration (e.g. air miles, schedules, changes)

 

Operational & Office Support

  • Process expenses and oversee day-to-day administrative requirements
  • Liaise with IT to ensure smooth running of equipment and systems
  • Manage meeting logistics including refreshments, room bookings, and visitor coordination
  • Maintain a visible and proactive presence within the office

 

Stakeholder & Relationship Management

  • Act as a key point of contact for internal and external stakeholders
  • Build strong relationships across the Executive Team and wider business
  • Liaise with security and front-of-house to manage visitor experience
  • Handle ad hoc personal and business requests with discretion

 

Flexibility & Support

  • Provide out-of-hours support when required
  • Operate in line with the C-suite schedules, demonstrating flexibility and responsiveness

 

Your skills, Knowledge & Experience

  • Significant experience in a Personal Assistant role supporting senior leadership
  • Highly organised with exceptional attention to detail
  • Strong communicator with the ability to build relationships quickly and confidently
  • Operates with the highest level of confidentiality and integrity
  • Proactive and forward-thinking, with the ability to anticipate needs and solve problems before they arise
  • Comfortable working in a fast-paced, ever-changing environment
