Our client, a successful global veterinary services firm, is looking for an Executive Assistant to support their Chairman. This role is ideal for an Executive Assistant who is happy being office based and able to hit the ground running. As Executive Assistant, you will provide right-hand support; managing a complex diary, all the Chairman’s correspondence, personal and business finances, and day to day schedule. Acting as a gatekeeper you will be given a huge amount of responsibility from day one, and therefore this role would suit an Executive Assistant who has proven experience in business and personal support, is tech savvy and has an excellent working knowledge of MS Office packages, Excel in particular. Role Responsibilities
- Act as a gatekeeper for the Chairman across all personal and business needs, ensuring effective communication with internal and external stakeholders
- Draft, proofread and edit documents and correspondence
- Manage the Chairman’s complex diary and inbox; coordinate meetings and ensure the Chairman is fully briefed
- Organise and prepare for internal and external meetings, including agendas, minute-taking and action tracking
- Coordinate both business and personal travel, including detailed itineraries, flights, visas and accommodation as required
- Maintain accurate document records, process expenses, and assist with reports and presentations
- Manage personal and business finances; expenses, tax returns and invoices
- Manage internal events such as the Christmas party
- Assist with HR admin tasks; annual appraisal reports and annual bonus letters
- Handle all information with discretion and confidentiality
Personal Specification:
- Proven experience as an Executive Assistant covering both business and personal needs
- Tech-savvy with excellent working knowledge of MS Office, in particular Excel
- Highly organised, proactive and professional, with excellent attention to detail
- Strong written and verbal communication skills
- Confident managing multiple priorities within an ever changing and fast-paced environment
- Comfortable working autonomously with minimal supervision
