Executive Assistant/Operations Manager

£30-£35 per hour

Purpose of the role

To act as a trusted right-hand to the Managing Director, keeping the business running smoothly day-to-day while also driving the cadence, systems and follow-up that keep us front of mind with clients, candidates and our wider HR network.

This is not a passive EA role. It combines classic EA support with practice management, CRM ownership and light commercial project work.

Remote, fractional role – offered on an hourly rate basis. This is a flexible arrangement designed for an experienced EA / Practice Manager who wants autonomy and impact rather than a full-time position. Hours can scale up or down depending on workload and priorities.

Core responsibilities:

EA & day-to-day support

  • Full diary management, prioritisation and meeting preparation.
  • Inbox management: filtering, drafting responses, chasing actions.
  • Travel, logistics and admin support.
  • Keeping the MD focused on high-value client and candidate activity.

Practice & admin management

  • Owning core admin across the executive search practice.
  • Managing key documents, trackers and reporting.

CRM & network cadence

  • Ownership of CRM data quality and hygiene.
  • Creating and managing structured touchpoint for candidates and clients.
  • Senior candidates.
  • Referrers and wider HR network.
  • Ensuring regular, thoughtful follow-up so we stay visible and relevant.
  • Tracking engagement and prompting timely outreach.

Value-add projects

  • Supporting client communication plans and search updates.
  • Helping build simple, repeatable processes that improve client experience.
  • Assisting with events, roundtables and content distribution.
  • Light project work to support growth of the practice.

  • The MD’s diary and inbox feel calm, controlled and intentional.
  • Clients feel well looked after, informed and engaged.
  • Candidates experience a professional, joined-up process.
  • CRM is up to date, usable and actually used.
  • No valuable relationship “goes cold” by accident.

 

Experience & style

  • Experience as an EA, Practice Manager or Operations Manager in a professional services environment (search, consultancy, legal, advisory).
  • Highly organised, proactive and comfortable working with senior stakeholders.
  • Strong written communication and judgement.
  • Confident using CRM systems and managing workflows.
  • Commercial mindset – understands what actually drives value.
