Executive Assistant
Location: Manchester, UK (HQ)
Working Pattern: Hybrid – minimum 3 days per week in the office
Contract: Permanent, Full-time
Salary: £40,000-£50,000 DOE
The Role
This is a pivotal role at the heart of our client’s leadership team. As Executive Assistant, you will be the primary support to their CEO, managing the complexity of his day-to-day responsibilities so he can focus on leading the business, strengthening investor relationships, and driving our continued growth. You’ll also provide high-quality support to the Senior Leadership Team and play a central role in coordinating key business activities, including board meetings, investor engagements, leadership offsites, and strategic events. This role is ideal for someone who is highly organised, proactive, discreet, and thrives on anticipating needs before they arise. You’ll be a trusted partner who brings calm, structure, and exceptional attention to detail in a dynamic, high-growth environment.
Key Responsibilities
CEO Support
- Own and manage the CEO’s diary, ensuring priorities are balanced and time is protected for strategic work.
- Act as the first point of contact for the CEO’s communications, managing inbox activity, filtering requests, and drafting correspondence where appropriate.
- Prepare agendas, briefing notes, presentations, and supporting materials ahead of meetings, events, and investor engagements.
- Coordinate complex domestic and international travel, including flights, accommodation, ground transport, itineraries, visas where required, and contingency planning.
- Handle highly confidential information with the utmost professionalism and discretion.
- Anticipate the CEO’s needs, proactively resolving issues before they arise.
- Provide occasional personal administrative support where required.
Senior Leadership Team Support
- Provide diary management and administrative support to members of the Senior Leadership Team as required.
- Process executive expenses and purchasing requests accurately and efficiently.
- Coordinate projects and action tracking across the leadership team, ensuring deadlines are met and priorities continue to move forward.
- Organise cross-functional meetings, ensuring agendas, attendees, venues, and materials are prepared in advance.
- Act as a central coordination point across the leadership team, driving accountability and follow-up on key actions.
- Support the onboarding of senior hires through logistics, scheduling, and induction coordination.
- Coordinate domestic and international travel for members of the Senior Leadership Team.
Board & Investor Support
- Manage the end-to-end coordination of Board meetings, including scheduling, venue or virtual meeting logistics, catering, board packs, and minute-taking where required.
- Coordinate the preparation and timely distribution of Board papers, working closely with the CEO, CFO, and key contributors.
- Build and maintain strong relationships with Board members and investors, ensuring a consistently professional experience.
- Support the CEO with investor communications, meeting logistics, and follow-up actions.
Travel & Events
- Plan and manage all executive travel, balancing efficiency, cost, and seamless delivery.
- Source and book hotels, restaurants, meeting venues, and event spaces for internal and external business activities.
- Partner with the Global Office Manager to coordinate leadership offsites, company events, and international team gatherings.
- Manage supplier relationships and negotiate favourable rates where appropriate.
Operations & Administration
- Manage and reconcile executive expenses accurately and on time.
- Maintain organised filing systems for key business documents, contacts, and confidential information.
- Deliver ad hoc projects involving research, planning, coordination, or operational improvements.
- Continuously identify opportunities to improve processes, increase efficiency, and enhance the effectiveness of the leadership team.
About You
- Proven experience as an Executive Assistant supporting C-suite executives within a fast-paced environment.
- Demonstrated success managing complex calendars, international travel, and senior stakeholder communications.
- Experience supporting Board meetings, governance processes, and investor relations, or the ability to quickly develop expertise in these areas.
- Exceptional written and verbal communication skills with the ability to produce clear, concise, and professional documentation.
- Outstanding organisational skills with meticulous attention to detail.
- High levels of discretion, integrity, and sound judgement when handling confidential information.
- A proactive, solutions-focused mindset with the ability to anticipate challenges and resolve them independently.
- The ability to remain calm, adaptable, and effective as priorities evolve.
- Strong emotional intelligence and the ability to build trusted relationships across all levels of the organisation.
- Advanced proficiency in Microsoft 365, including Outlook, Teams, Excel, PowerPoint, and Word.
- Confidence using AI productivity tools such as Claude or ChatGPT, with a curiosity for adopting new technologies that improve efficiency.
- Familiarity with Board governance processes and Board pack preparation.
- Experience working across multiple time zones and supporting internationally distributed teams.
