Executive Assistant to CEO & COO

Location – Manchester (main place of work)

Hybrid – 3 days per week office based

The Role

Our client requires a proactive, highly organised and discreet Executive Assistant (EA) to provide comprehensive support to their CEO, COO, CFO and wider executive team.

The EA will operate at the heart of our leadership function, enabling the executive team to operate at their best by managing schedules, communication, and key business processes.

This is a high-impact role requiring excellent judgement, strong interpersonal skills, adaptability, and an ability to thrive in a dynamic, fast-paced environment.

 

Role responsibilities

 

Executive Support

  • Provide proactive diary management, scheduling internal and external meetings, and prioritising competing demands.
  • Manage travel arrangements and logistics for domestic and occasional international travel.
  • Prepare high-quality documents, reports, agendas, and presentations for board and leadership meetings.
  • Manage and track action items, follow-ups and deadlines on behalf of the executive team.
  • Organise and support team-level events, away days and workshops.
  • Coordinate expense claims and other administrative needs.

Communication & Stakeholder Management

  • Act as the first point of contact for internal and external stakeholders engaging with the executive team.
  • Maintain discretion and confidentiality when handling sensitive business or personal matters.
  • Draft, proofread and manage executive correspondence.

Governance & Projects

  • Support the preparation and coordination of board meetings, exec leadership meetings and other governance forums.
  • Take minutes, monitor follow-ups, and ensure timely delivery of actions and documentation.
  • Assist with ad hoc strategic projects, research tasks and reporting as needed.

Operational Efficiency

  • Identify and implement improvements to enhance the productivity of the executive team.
  • Build strong internal relationships across departments to streamline communication and operations.
  • Use initiative to pre-empt needs, solve problems and remove friction in daily operations.

This role sits within the People Team, with direct involvement in wider engagement, wellbeing and CSR initiatives.

 

Experience & Skills

 

Essential

  • Proven experience as an Executive Assistant, supporting multiple senior leaders or a C-suite team.
  • Outstanding organisational and time management skills.
  • High levels of discretion, professionalism and emotional intelligence.
  • Excellent written and verbal communication skills.
  • Confident using Microsoft Office (Outlook, PowerPoint, Word, Excel) and other productivity tools.
  • Strong attention to detail and ability to work independently.

 

Desirable

  • Experience in a fast-paced, scale-up or fintech environment.
  • Familiarity with project management tools or collaboration platforms.
  • Experience supporting board-level governance or investor communications.
