Our client is a premium British fashion and lifestyle brand being built with a long-term view.

They are creating a brand with substance, shaped by quality, consistency, strong design judgement and a clear identity. This is not a fast-fashion business or a trend-led brand chasing short-term attention. They are building carefully, with an emphasis on product, presentation and standards that hold over time.

As the business grows, so does the coordination required behind the scenes. Suppliers, samples, production stages, documents, payments, packaging and day-to-day decisions all need to be managed properly. We are now at the stage where stronger operational structure is needed to support the work underway and the growth ahead.

Why This Role Exists

At present, too much day-to-day coordination sits with the founder. That is common in the early stages of building a business, but it is not sustainable if the company is to scale in a clear and structured way.

This role is being created to bring more order, visibility, and consistency to the operational side of the business. The right person will help ensure information is easier to track, documents are properly organised, supplier communication is followed through, and daily operations run more smoothly.

This is an important hire. It is not about filling a gap with basic admin support. It is about strengthening the operating foundation of a growing product-led brand.

The Role

The Brand Operations Coordinator will work closely with the founder to support the day-to-day running of the business across supplier coordination, sample and production tracking, document management, workflow organisation, and operational follow-through.

The role suits someone who is naturally organised, dependable, and comfortable handling multiple moving parts. You will help bring structure to areas that are becoming more complex as the business develops, while making sure key information is current, accessible, and clearly managed.

This is not a passive support role. We are looking for someone who can take ownership, keep things moving, and contribute to how systems and processes are developed over time.

Key Responsibilities

The role will include responsibility across the following areas:

● Tracking supplier communication and keeping key updates, requests, approvals, and follow-up points organised

● Supporting order and production tracking, including what is in development, approved, pending, paid, or outstanding

● Coordinating sample and product development information so that stages, changes, and current status are clear

● Organising operational records across supplier files, tech packs, PDFs, invoices, quotations, approvals, and related documents

● Maintaining file structure, naming conventions, and version control so documents are easy to locate and use

● Supporting visibility around deposits, balances, payment status, and order progression

● Following through on routine operational actions and helping ensure fewer details are missed

● Helping build and maintain simple, effective systems that make the business easier to run

● Supporting general operational coordination across product, packaging, logistics, and internal organisation

● Working closely with the founder to ensure operational activity remains aligned with the standards and direction of the brand

What Success Looks Like in the Role

Within the first three to six months, success in this role should be visible in practical ways.

Supplier conversations should be easier to review and less reliant on message history or memory. Orders, samples, and production stages should be clearer at a glance. Documents should be stored properly, named consistently, and kept up to date. Payment status and order progression should be easier to track accurately, with less time lost searching for files or reconstructing context.

Most importantly, the business should feel more organised behind the scenes, with less routine dependency on the founder for operational visibility and follow-through.

Candidate Profile

We are looking for someone who is organised, dependable, and takes pride in their work.

You should be naturally structured in how you approach tasks, with a willingness to learn and grow alongside the business. A positive attitude, consistency, and a genuine interest in doing things properly all matter in this role.

You will need strong follow-through, a good eye for detail, and the ability to notice when small things need attention before they become bigger issues. You should be reliable and capable of managing responsibility without constant supervision.

Clear communication is important. You should be able to write and organise information in a way that is easy to understand, accurate, and up to date.

This role will suit someone who enjoys bringing order to a working environment and contributing to how systems and processes improve over time. An appreciation for quality, consistency, and strong operational standards is important, particularly in a product-led business where details shape the overall customer experience.

Ideal Background

This role is best suited to someone with prior experience in operations, coordination, or administrative support within a product-led, founder-led, or fast-moving business.

The strongest candidates are likely to have worked in a role where they were responsible for keeping information organised, tracking multiple workstreams, maintaining accurate records, following up on actions, and helping bring structure to a busy environment. They should be comfortable managing operational detail and working closely with a founder or senior decision-maker.

Experience within fashion, retail, e-commerce, consumer goods, or another product-based business would be particularly valuable, especially where suppliers, product documentation, order tracking, approvals, or operational administration formed part of the role.

This is not a position for someone seeking a purely introductory role with heavy hand-holding, nor for someone drawn only to the surface of brand or fashion. It is better suited to someone who understands the discipline required to keep a business organised behind the scenes and takes real satisfaction in doing that work well.

Working Structure

This will begin as a part-time role of approximately 10 to 15 hours per week.

The successful candidate will be expected to work in person approximately one day per week at the Head Office in Mereside, Alderley Park, with the remainder of the role structured flexibly around the needs of the business. Candidates based in or around Manchester or Cheshire will therefore be best placed.

This is intended to be a long-term hire rather than a short-term stopgap, with clear scope for responsibility and hours to grow over time as the business develops.
