An exciting Executive Assistant role is available to support the CEO (Co-Founder) and COO of a pioneering company in the virtual production space. This innovative organisation is at the forefront of technology and creativity, making it an exciting place to work. As an EA, you will play a critical role in ensuring the smooth operation of the executive team, enabling them to focus on strategic initiatives and fostering collaboration within the company.

You will work closely with both the CEO and COO, where there will be a heavy emphasis on diary, meeting, and travel coordination. Given their extensive travel schedule and frequent meetings with internal and external clients and stakeholders, your organisational skills will be put to the test in a fast-paced environment. This hybrid role allows you to split your time between home and the office based in Shoreditch, with occasional travel both within the UK and internationally. 

Job Title: Executive Assistant to CEO & COO

Location: Shoreditch, London

Contract Type: Permanent – 3 days in the office 2 WFH

Salary: £40,000 – £50,000 per annum 

Key Responsibilities:

  • Extensive Diary Management: Proactively handle the complexities of the executives’ schedules, ensuring all meetings are efficiently coordinated and adjusted as necessary.
  • Email Management: Monitor the CEO and COO’s inboxes, prioritising and actioning communications promptly to ensure important matters are addressed.
  • Travel Coordination: Manage comprehensive travel arrangements for both UK and international trips, including flights, accommodations, and itineraries, while ensuring all logistics run smoothly.
  • Support for the Wider Team: Assist other team members with overflow work and project support, demonstrating a collaborative spirit and willingness to contribute wherever needed.
  • Stakeholder Liaison: Represent the CEO and COO in meetings when necessary, facilitating effective communication with stakeholders and clients.
  • Preparation of Meeting Materials: Develop and organise meeting agendas, prepare presentation materials, and compile necessary documentation to support effective meetings.

Ideal Candidate:

  • The ideal candidate for this role will possess emotional intelligence, a proactive approach and a genuine desire to understand the business’s direction and potential challenges.
  • You will be trusted to exercise your judgement and provide insights that support the executive team.
  • Additionally, your responsibilities may extend to some office management duties and involvement in various events and projects as time allows.
  • Previous experience (5-10 yrs)as an EA, ideally within the creative, media, or production sectors. Strong organisational skills and the ability to manage multiple priorities effectively.
  • Excellent verbal and written communication skills, with a professional demeanour.
  • Proven ability to work independently and as part of a team in a fast-paced environment. Familiarity with the unique demands of a high-growth, dynamic organisation.
