Our client is a leading global reinsurance organisation, partnering with insurers worldwide to provide risk solutions and long-term capital strength. Their London office plays a pivotal role in underwriting, portfolio management and strategic transformation initiatives across the Group.
Reporting to the Chief Operating Officer – Underwriting & Portfolio, this role provides high-level executive and operational support to the COO – Underwriting & Portfolio and the SVP – Underwriting & Portfolio Operations. You will also deliver administrative support to members of the Strategy & Business Transformation teams.
This is a dynamic and varied position, ideal for an experienced Executive Assistant who thrives in a fast-paced, global environment and enjoys balancing meticulous operational detail with forward planning and coordination across multiple stakeholders.
Executive Assistant – Underwriting & Portfolio
Location: City, London (4 days in office, 1 day from home)
Salary: £50,000 per annum
Contract: Permanent
Key Responsibilities
Executive & Administrative Support
- Manage complex diaries, scheduling across multiple time zones.
- Extensive inbox management for the COO – Underwriting & Portfolio.
- Arrange international travel, including flights, visas, accommodation, and ground transport.
- Prepare meeting agendas, minutes, and track follow-up actions.
- Process expenses for the COO, SVP, and other team members as required.
- Maintain strict confidentiality when handling sensitive information.
Meeting & Event Coordination
- Coordinate key internal meetings including:
- Leadership offsites
- Quarterly management meetings
- Project execution meetings
- Lead logistics for UK-based senior leadership offsites and support coordination of overseas events.
- Coordinate cross-functional meetings to ensure delivery of milestones.
- Assist in planning, tracking and reporting on key projects and initiatives.
Operational & Strategic Support
- Support internal communications on behalf of the Underwriting & Portfolio Operations team.
- Assist in preparing presentations, reports and briefing materials.
- Collaborate closely with other EAs, PAs and the Administration & Facilities team to support core business objectives.
- Provide absence cover for London-based EAs and PAs as required.
Candidate Profile
Experience
- 3–5 years’ experience in a comparable Executive Assistant or senior administrative role.
- Prior experience within the insurance or reinsurance sector is highly desirable.
- Demonstrable experience coordinating events, from small team meetings to larger-scale leadership events.

- Advanced proficiency in Microsoft Office (PowerPoint skills particularly advantageous).
