Temporary Executive Assistant / Investor Relations Assistant

Location: London (West End)

Contract: Temporary (July – August 2026)

Rate: £25–£30 per hour (depending on experience)

Hours: Full-time, office-based with flexibility as required

Overview

Our client is seeking a highly organised, proactive, and professional Temporary Executive Assistant / Investor Relations Assistant to provide comprehensive support to a busy front-office team and the Head of Strategy & Investor Relations during a critical summer period. This role combines traditional Executive Assistant responsibilities with exposure to investor relations, fundraising activities, marketing initiatives, and stakeholder engagement within a fast-paced investment environment.

The successful candidate will be an exceptional multitasker with strong attention to detail, excellent communication skills, and the ability to manage competing priorities while maintaining confidentiality and professionalism.

Key Responsibilities

Executive Assistant / Team PA Support

  • Manage and coordinate partner and front-office diaries.
  • Arrange domestic and international travel, including flights, rail travel, hotels, taxis, visas, and related logistics.
  • Produce detailed travel itineraries and coordinate all travel documentation.
  • Prepare and submit expense claims for partners and front-office team members.
  • Maintain and update Outlook contacts and databases.
  • Monitor inboxes during team absences, filtering emails and delegating actions where appropriate.
  • Assist with the preparation and formatting of presentations and documents using Microsoft Office applications, including PowerPoint and Word.
  • Support the administration and coordination of team events, investor marketing activities, and meetings.
  • Set up and test video conferencing facilities and meeting room technology.
  • Manage electronic and paper filing systems, scanning, and document organisation.
  • Arrange refreshments, catering, and working lunches for meetings.
  • Research and book restaurants and venues for business meetings.
  • Meet and greet visitors and external guests.
  • Assist with meeting agendas, presentation materials, and supporting documentation.
  • Coordinate couriers, postage, and deliveries.
  • Provide cover for the Office Manager as required.
  • Handle occasional personal administrative tasks for senior team members where appropriate.
  • Undertake ad hoc administrative duties and errands as required.

Investor Relations Support

  • Provide day-to-day support to the Head of Strategy & Investor Relations, assisting with strategic initiatives and project execution.
  • Support the maintenance, enhancement, and ongoing administration of the LP (Limited Partner) portal, ensuring timely and accurate investor communications.
  • Assist in developing and refining investor onboarding processes to deliver an exceptional investor experience.
  • Coordinate the production of investor presentations, fundraising materials, and marketing collateral, liaising with multiple departments to ensure consistency and accuracy.
  • Support the planning and execution of investor events, including LPAC meetings, AGMs, roadshows, conferences, update calls, and fundraising activities.
  • Coordinate logistics, scheduling, venue arrangements, and attendee communications for investor events.
  • Assist with the development of branded marketing materials, event signage, promotional items, and presentation assets.
  • Support digital marketing initiatives, including LinkedIn and social media updates in collaboration with external communications providers.
  • Prepare and maintain investor profiles and supporting documentation.
  • Manage relationships with external suppliers and vendors, assisting with rate negotiations and service management.
  • Support CRM maintenance, data integrity projects, reporting enhancements, and database clean-up activities.
  • Assist with the management of investor relations vendors and service providers.
  • Attend and support bi-weekly placement agent meetings during fundraising periods.
  • Maintain and manage the Investor Relations calendar.
  • Log investor interactions, meeting notes, and relevant stakeholder communications accurately within CRM systems.
  • Assist with ad hoc fundraising, reporting, and investor communication projects.

Candidate Profile

Essential Skills & Experience

  • Previous experience as an Executive Assistant, Team Assistant, Personal Assistant, or Investor Relations Assistant.
  • Strong diary management and travel coordination experience.
  • Excellent organisational and time-management skills.
  • Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Word, and Excel.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Comfortable working independently and managing multiple priorities in a fast-paced environment.
  • Professional and confident approach when dealing with senior stakeholders and external investors.

Desirable

  • Experience within private equity, venture capital, asset management, investment banking, or financial services.
  • Exposure to investor relations, fundraising activities, or capital markets.
  • Experience using CRM platforms and investor portals.
  • Event management and marketing coordination experience.
