They are seeking an experienced Assistant to Director to provide executive-level administrative support across a range of corporate and operational functions. Successful candidates may be assigned to departments including Operations, Human Resources, Finance, Legal, Technology, Corporate Services, or other business units.
Position Summary
The Assistant to Director plays a critical role in ensuring the smooth and efficient operation of the Director’s office. This position requires a highly organised, proactive professional who can manage competing priorities, maintain strict confidentiality, and deliver exceptional administrative support in a demanding executive environment.
Key Responsibilities
As the successful candidate, you will:
- Provide high-level confidential administrative and executive support to senior management.
- Manage complex calendars, appointments, meetings, and scheduling across multiple time zones.
- Coordinate domestic and international travel, including flights, accommodation, visas, transportation, and expense reporting.
- Prepare, edit, proofread, and manage confidential correspondence, reports, presentations, and official documentation.
- Compile and analyse statistical data and prepare executive reports and presentations.#
- Organise meetings, prepare agendas, record minutes, and monitor follow-up actions.
- Maintain accurate electronic and physical filing systems.
- Liaise professionally with internal stakeholders, government agencies, and external partners.
- Support office administration and contribute to continuous improvement of administrative processes.
- Handle sensitive information with the highest level of discretion and professionalism.
- Undertake additional administrative duties as assigned by senior management.
Minimum Requirements
To be considered, you should possess:
- A minimum of 5 years’ continuous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant supporting senior executives.
- Proven experience providing high-level executive support within a large corporate or multinational organisation.
- Excellent organisational skills with the ability to manage multiple priorities simultaneously.
- Strong attention to detail and a commitment to delivering high-quality work.
- Outstanding written and verbal communication skills in English.
- Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Excellent typing, document formatting, and presentation preparation skills.
- The ability to work independently, exercise sound judgement, and maintain confidentiality.
- A proactive, adaptable, and service-oriented approach with the ability to perform effectively under pressure.
Preferred Qualifications
- Experience supporting executive leadership within the energy, oil and gas, engineering, or other multinational industries.
- Experience coordinating international travel and executive-level meetings.
- Familiarity with enterprise systems such as SAP or other corporate administrative platforms.
