We are delighted to be representing an established and dynamic organisation based near Tamworth. The CEO is seeking a proactive and organised Executive Assistant to provide high-level support in managing daily tasks and ensuring smooth operations.

As the Executive Assistant, you will provide vital support to the CEO, managing their schedule, communications and travel arrangements. The successful candidate will have significant experience in a corporate environment, and have supported a busy CEO previously. 

Location: Within a 40-minute commute of Tamworth

Working Hours: Full-time (8.30am – 5pm), 2 days in office, 3 days remote

Industry: Flexible, but corporate experience required (not public sector)

Experience required: Prior experience supporting a busy CEO within a corporate environment is essential

Key Responsibilities:

  1. Diary Management:
    • Coordinate and manage the CEO’s schedule, ensuring efficient time management.
    • Schedule and organise meetings, appointments, and off-site events.
    • Prepare and provide daily schedules and briefings to the CEO.
  2. Email Management:
    • Handle and prioritise all incoming emails on behalf of the CEO.
    • Draft, proofread, and edit email correspondence.
    • Ensure timely responses and follow-up on outstanding communications.
  3. Travel Arrangements:
    • Organise domestic and international travel, including flights, accommodation, and itineraries.
    • Prepare travel briefs and ensure all travel-related requirements are met.
    • Handle any travel-related issues or changes as they arise.
  4. Liaison with Parent Company:
    • Serve as the primary point of contact between the CEO and the parent company.
    • Coordinate communications and meetings with the parent company.
    • Ensure alignment on corporate strategies and objectives.
  5. Meeting Support:
    • Organise and coordinate internal and external meetings, including preparing agendas, taking minutes, and distributing follow-up action items.
    • Ensure meeting rooms are prepared and equipped with necessary materials and technology.
    • Support the CEO in preparing presentations and reports for meetings.
  6. Event Planning:
    • Assist in planning and organising corporate events, conferences, and off-site meetings.
    • Coordinate logistics, invitations, and attendee management.
    • Ensure events run smoothly and meet the CEO’s objectives.
  7. Office Administration:
    • Maintain and organise files and records.
    • Order office supplies and manage office resources.
    • Coordinate with IT and other departments to ensure smooth office operations.
  8. Confidentiality and Discretion:
    • Handle sensitive and confidential information with utmost discretion.
    • Uphold the highest standards of professionalism and integrity.

Person Specification:

  • Minimum of 3 years’ experience in a corporate environment, with proven experience supporting busy CEO. 
  • Excellent organisational and time-management skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Strong attention to detail and problem-solving abilities
  • Proactive, with a positive attitude and a willingness to take initiative 
  • Discreet, with excellent judgement and the ability to maintain confidentiality
  • Flexible and adaptable to changing priorities and demands.

Salary £35,000 - £45,000 DOE plus benefits.
