A fantastic opportunity has arisen for an enthusiastic and dynamic Personal Assistant to support the CEO of a creative company based in Manchester.

This hands-on role is suitable for someone who is able to hit the ground running from day one, is hard working and is used to working in a fast-paced environment. This is an ‘all round’ PA role, which will cross over between business and personal.

Whilst you will have the support of the other PA's across the group, you will need to be comfortable working as an individual, in a stand alone role, building relationships across a number of other teams and acting as an extension of the CEO.

Key Responsibilities

  • Managing all correspondence on behalf of the CEO, including incoming/outgoing mail and email, meeting requests and phone calls
  • Coordinating an extremely complex diary with Directors and Management
  • Collating and compiling weekly reports, documents and financial stats
  • Attending meetings and taking actions when required
  • Booking of UK and overseas travel – Flights, trains, cars, visa, accommodation requirements
  • Working closely alongside the Directors and other PA’s
  • Meeting and greeting visitors/employees at all levels of seniority
  • Processing monthly expenses and invoices on time
  • Full inbox management
  • Drafting company communications
  • Primary liaison and first point of contact for the office
  • Taking minutes in meetings and feeding back to relevant people
  • Processing business expenses and invoices (Also some personal expenses and invoices)
  • Preparation of various documents including presentations and meeting agendas
  • Researching news, articles, reports and company information
  • Liaising with third party service providers
  • Ad Hoc Projects
  • Providing personal support to the CEO and his family
  • Managing the CEO’s home - including contractors, suppliers, processing payments/invoices, general ‘go to’ person
  • Managing house staff - a number of staff members, managing requests, holidays and leave, payroll, contracts and recruitment
  • Gift buying and personal shopping
  • Trip/holiday planning – UK and abroad for CEO with friends and family
  • Weekend arrangements – Activities, restaurants etc
  • Personal appointment booking
  • Available out of hours on an ad hoc basis

Skills and experience

  • At least 2 years Personal Assistant experience in a business/private capacity, ideally at CEO level
  • Pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes
  • Flexible with working hours
  • Highest level of confidentiality and discretion at all times
  • Be able to drive with a clean driving licence and have access to a car
