Executive Assistant Job Spec


Key responsibilities: 

  • Complex diary management to C-Suite executives, including acting as the first point of contact and fielding all enquiries 

  • Minute taking and attending board meetings 

  • Following up on board meeting actions 

  • Coordinating with board members and supporting them where necessary 

  • Managing projects and following up with team members 

  • Liaising with other staff members on behalf of senior management 

  • Organising events 

  • Solving simple IT issues

  • Preparing and delivering monthly reports

  • Coordinating internal and external meetings 

  • Email management - responding in a timely manner, actioning or passing on to a relevant team member in a timely fashion 

  • Establishing relationships with suppliers and using negotiation skills to ensure contracts are competitive 

  • Overseeing expenses 

  • Processing expenses 

  • Producing detailed itineraries 

  • Overseeing the running of the office and ordering supplies 

  • Liaising with other EAs/PAs within the business 

  • Booking taxis, hotels and couriers 

  • General administration and Executive Assistant duties 

Skills required:

  • Diary management experience 

  • At least three years' experience in a similar Executive Assistant role 

  • Good working knowledge of MS Office

  • Have the ability to work to tight deadlines, in an everchanging environment 

  • Be confident and articulate when speaking to clients 

  • Have a high standard of written English

  • Be an excellent multi-tasker
