Personal Assistant
Location: Manchester City Centre (Hybrid Working)
Salary: Up to £32,000 per annum (DOE) plus benefits and bonus
A fantastic opportunity has arisen for a Personal Assistant to join a friendly and well-respected property company based in Manchester City Centre on a permanent basis. Known for their low staff turnover and employee-focused culture, this organisation is recognised as a great place to work.
This hybrid role offers the chance to support a busy team in a collaborative and supportive environment, working closely with other PAs across the business.
Key Responsibilities
- Proactive diary management (multiple calendars) and organisational support.
- Preparing and collating documents, including letters, agendas, board reports, meeting papers, and checklists.
- Organising internal and external meetings, including booking meeting rooms and coordinating Microsoft Teams calls.
- Setting up and troubleshooting equipment for video conferences.
- Preparing in-house PowerPoint presentations in line with brand guidelines.
- Attending meetings and taking minutes/actions as required.
- Managing document storage, legal document execution, and maintaining a library of completed documents.
- Updating scheme databases, budget and cost trackers.
- Booking travel and accommodation.
- Processing expenses and mileage claims using an online management system.
- Managing inboxes and responding to emails on behalf of the team.
- Organising events for the company/team and networking occasions.
- Sharing and promoting improved ways of working to enhance team efficiency.
- Managing professional subscriptions and tracking CPD hours for the team.
- Answering calls, taking messages, and providing switchboard cover when required.
- Handling incoming and outgoing post.
- Supporting with IT queries and troubleshooting, including use of Office 365 apps.
- Setting up and maintaining Microsoft Teams for collaboration projects and facilitating document sharing.
Person Specification
- Proven experience as a Personal Assistant, ideally in a busy and professional environment.
- Excellent proficiency in Microsoft Office, including Teams, Word, Excel, and PowerPoint.
- Highly proactive and able to take ownership of tasks with a solutions-focused approach.
- Professional, personable, and approachable with the ability to build relationships at all levels of seniority.
- Strong organisational skills and the ability to remain calm under pressure.
- A team player with a can-do attitude and a willingness to go the extra mile.
