Portfolio Administrator – FTSE 250 Organisation

Location: Hybrid Working
Salary: Up to £25,000 per annum DOE + Competitive Benefits

A brilliant opportunity has arisen for a Portfolio Administrator to join a reputable FTSE 250 organisation on a permanent basis.

This is a varied and rewarding role providing vital administrative support to the Portfolio Management team, ensuring the smooth and efficient management of the property estate. If you are highly organised, personable, and have a keen eye for detail, this could be the perfect opportunity for you.

Key Responsibilities

  • Database Management: Process and update property databases and spreadsheets with tenant, unit, and inspection information.
  • Inspection Coordination: Schedule and monitor inspections, prepare documentation, and liaise with Property Managers and third parties.
  • Rent and Service Charge Administration: Manage tenancy rent reviews, process service charge reports, and liaise with Finance to raise rent and insurance charges.
  • Health & Safety Compliance: Highlight and monitor overdue Health & Safety issues for resolution.
  • General Administration:
    • Handle incoming post, newsletters, strategy reports, contracts, leases, and Land Registry enquiries.
    • Organise meeting documentation, book rooms, take minutes, and manage filing and scanning.
    • Provide reception cover when needed.
  • Insurance Management:
    • Arrange insurance quotes for acquisitions and manage insurance renewals.
    • Liaise with insurers, Loss Adjusters, and Contractors on claims, ensuring timely settlement and communication with Finance.
    • Maintain up-to-date insurance claim information for reports.
  • Team Support: Assist with ad hoc project work and support team initiatives.

Person Specification

  • Experience: Previous administrative experience essential; property management experience desirable.
  • Technical Skills: Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with property management IT systems such as Landmark is advantageous.
  • Attention to Detail: Ability to manage data accurately with a high level of precision.
  • Organisation: Strong time management and organisational skills, with the ability to handle multiple tasks and deadlines.
  • Communication: Excellent interpersonal and written communication skills, with the ability to liaise effectively with professionals at all levels.
  • Initiative: A proactive approach, comfortable working both independently and as part of a team.
