Senior Portfolio Administrator – FTSE 250 Organisation – Hybrid Role
We are delighted to partner with a reputable FTSE 250 organisation to recruit an experienced Senior Portfolio Administrator. This is a fantastic opportunity to play a key role in supporting the Portfolio Management team in the effective and efficient management of their property estate.
This hybrid position offers a mix of team collaboration and flexible working, making it ideal for someone with previous administrative experience who is personable, highly organised, and detail-oriented.
Key Responsibilities
- Maintain and update the property database and relevant spreadsheets with property, tenant, and unit changes.
- Schedule, monitor, and prepare inspection documentation; book inspections for Property Managers.
- Arrange and track third-party inspections, including valuations and rent reviews.
- Monitor and update statutory documentation for landlord and tenant responsibilities.
- Handle tenancy rent review administration and assist with service charge reports upon approval.
- Raise rent and insurance charges with the Finance team.
- Highlight overdue Health & Safety issues and ensure compliance.
- Perform general administrative duties, including handling post, newsletters, strategy report updates, Land Registry enquiries, contracts, leases, and booking meeting rooms.
- Take minutes, prepare meeting documentation, and manage projects.
- Manage and oversee insurance processes, including obtaining quotes, arranging cover, and handling claims.
- Line management of two administrators, providing support and cover when needed.
- Provide Reception cover as and when required.
Person Specification
- Experience: Previous line management experience is essential; property management experience is desirable.
- Skills:
- Proficiency in Microsoft Office packages.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Effective communication skills, with the ability to liaise with professionals across various disciplines.
- Familiarity with property management IT systems (e.g., Landmark) is advantageous.
