Our client, a privately owned, UK based Investment and Development Management business, with a focus on Operational Real Estate sectors is seeking a flexible, dynamic and highly proactive EA/Ops Assistant to support the CEO and senior Team. Founded in 2011, the company has raised and invested over £1bn through Indirect Funds and Direct Single Accounts across the UK and The Netherlands. They are looking for this new addition to join the team (EA/Ops) to support their CEO in his pivotal role and to ensure the smooth running of the office.


Location: Central London
Salary:  £50,000- £55,000 per annum. Full Time. Hybrid 3 days in the office
Contract: Permanent


This is a unique and exciting opportunity for a driven and versatile individual to play a pivotal role in shaping the company’s operations, ensuring seamless executive support, and managing the office environment. You will act as the right-hand person to the CEO, driving efficiency, overseeing day-to-day business operations and fostering a productive and organised office culture.


EA Responsibilities:

  • High level support: Manage the Senior Team’s (CEO, Chairman, CIO) calendars, prioritising and scheduling meetings, appointments, reservations and travel arrangements.
  • Communication management: Handle correspondence, draft emails and prepare documents on behalf of the CEO including reports, presentations and correspondence for internal and client use.
  • Meeting coordination: Booking meeting rooms and prepare agenda (and follow up on action points.
  • Confidentiality & discretion: Handle sensitive information with absolute confidentiality and professionalism.

Operations Assistant Responsibilities:

  • Process improvement: Help Identify and implement more efficient administrative processes.
  • Project coordination: Support the delivery of internal projects, tracking progress and managing timelines.
  • Data management: Help maintain and organise company admin records, reports and documentation.
  • Basic financial admin: Support with invoice processing, expense tracking, and liaising with the finance team.
  • Risk & compliance: Identify opportunities for improvement to regulatory standards and identify potential breaches of internal controls.

Office Management Responsibilities:

  • Office administration: Ensure the smooth running of the office, overseeing supplies, facilities, invoices, subscriptions, liaising with Fora and IT coordination (with external IT providers).
  • HR coordination: Manage HR administration, including employee records, onboarding, and coordinating with external HR providers.
  • Culture & engagement: Foster a positive workplace culture by organising team events (internal & external) and initiatives.
  • Facilities management: Oversee contracts, maintenance, and liaise with suppliers to ensure a functional and professional office environment.
  • Health & safety compliance: Ensure the business adheres to H&S regulations and policies.


Requirements:

  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior executives.
  • Strong organisational skills, with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion and professionalism.
  • High level of initiative and ability to work independently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based tools (e.g., Google Workspace, Zoom).
  • Experience in the Real Estate, Entrepreneurial, Investment Management or Asset Management sectors is an advantage but not essential.

  • Proven 3 years + experience as an Executive Assistant/Ops and Office Management.
  • Excellent communication skills both written and verbal.
  • Adaptability to shifting priorities and changing business needs.
  • Enthusiastic, flexible and approachable demeanour.
  • Strong interpersonal skills and the ability to collaborate with various teams.
  • Strong attention to detail.
