About the Role:
Seeking a highly organised, proactive Executive Assistant/Office Assistant to support the MD and their team in a busy and fast-paced environment. A “can do” attitude is essential, with the ability to prioritise, support and implement processes wherever necessary.
Based in the Northern Quarter of Manchester, this role will provide high-level administrative support. The successful candidate will be exceptional at managing a busy schedule and office processes. In addition, you will act as a trusted partner to help the MD manage time and priorities effectively.
Having the right person in this role will ensure the business can take its next steps and you will be an integral part of that journey.
Key Responsibilities:
- Provide comprehensive administrative support to the MD, including proactive diary management and inbox management
- Supporting with meetings in terms of agendas, minutes and follow up action points
- Provide financial administration support which will include managing/chasing/logging invoices and internal/external expenses coordination
- Implementing new office systems/processes to improve the organisation of essential business documentation
- Design and implement office policies
- Support the wider term with administrative needs and anticipate where you can help
- Carry out some family/personal work for the MD when necessary
- Be prepared to take on whatever needs doing, you will be the lynchpin for the team
Required Experience:
- Proven experience as an Executive Assistant and team support
- Experience in a creative/marketing/PR agency would be a great advantage
- A proven track record of implementing processes and policies from scratch
- Experience of managing financial administration in a work environment
- Exceptional calendar and time management skills, with strong attention to detail and a proactive mindset
- Outstanding written and verbal communication skills, with the ability to take accurate minutes and communicate effectively at all levels
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- A warm, calm and helpful approach in all that you do
- Enjoy working in a fast paced and lively office environment
