Our client is seeking a highly organised, experienced and proactive Executive Assistant to support the dynamic and fast-paced needs of the Executive Director (UHNWI) of a market leading and well known global firm within the manufacturing sector. This is a key role requiring someone who thrives under pressure, can manage multiple priorities to tight deadlines and has a genuine passion for working at C Suite level. The successful candidate will have extensive C Suite level exposure.
 

Role: EA to Executive Director
Location: London- 5 days in the office
Salary:  £60,000 to £90,000 per annum.
Contract: Permanent
 

This is an exciting new role that presents an incredible opportunity for someone to take charge and help shape the direction of the company’s operations. As EA to the Executive Director, you will act as their right hand, managing their schedule, prioritising tasks and ensuring seamless day-to-day operations.
 

EA Responsibilities:

  • Professional & Board Coordination: Provide proactive and high-level support for the Executive Director’s day-to-day business activities, including managing calendars, inboxes, travel, meeting logistics, and documentation.
  • Serve as a trusted liaison, ensuring smooth communication between the Executive Director and internal teams, external partners, board members, and clients.
  • Prepare high-quality materials including presentations, reports, and briefing packs for meetings, ensuring the Executive Director is fully prepped and informed.
  • Coordinate travel and logistics for both professional and personal commitments, managing complex itineraries across multiple time zones and interests.
  • Other Work – Support for Non-Executive Director Duties (Across Multiple Companies): Assist the Executive Director in managing their portfolio of Non-Executive Director roles held at other companies.
  • Coordinate schedules and ensure the Executive Director is briefed and prepared for all external board and governance commitments.
  • Liaise with executive teams, assistants and board secretariats at other organisations to manage diary alignment, documentation flow, and follow-up actions.
  • Track ongoing obligations and ensure appropriate prioritisation across multiple board roles, including preparation and coordination of board packs, key dates, and deliverables.
  • Personal and Family Liaison: Support and manage a range of personal administrative tasks, including private appointments, family travel, and social commitments.
  • Coordinate with family members and any household or personal staff to ensure alignment with the Executive Director’s broader schedule.
  • Book and manage personal travel arrangements, accommodations, and logistics, often integrating with professional travel plans.
  • Maintain strict confidentiality and discretion at all times when handling sensitive personal or family-related matters.
  • Being the Trusted Face and Gatekeeper: Act as a true ambassador for the Executive Director, managing first impressions, relationships, and interactions with diplomacy and care.
  • Proactively manage communications and correspondence, prioritising messages and ensuring responses are handled swiftly and appropriately.
  • Build strong, respectful relationships across all levels of the business and external network on behalf of the Executive Director.
  • Protect the Executive Director’s time by effectively filtering and gatekeeping all meeting and engagement requests.

Requirements:

  • Proven experience as a career Executive Assistant working C Suite and Board level or for an UHNWI.
  • Strong organisational skills, with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Ability to handle sensitive information with discretion and professionalism.
  • High level of initiative and ability to work independently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based tools (e.g., Google Workspace, Zoom).

Skills & Qualifications:

  • 5+ years supporting senior executives or founders in a fast-paced, high-responsibility environment.
  • Experience supporting individuals with external board or portfolio roles is highly desirable.
  • Exceptional organisational, problem-solving, and multitasking skills with strong attention to detail.
  • High emotional intelligence and interpersonal skills, with a calm, polished, and confident communication style.
  • Proven ability to handle sensitive information with absolute confidentiality and discretion.
  • Proficiency in Microsoft Office, Google Workspace, and modern productivity and scheduling tools.
