Executive Assistant to the Joint Managing Partner – Law Firm | Location: Leeds | Salary: Up to £48,000

A forward-thinking law firm in Leeds is recruiting for an Executive Assistant to provide comprehensive support to their Joint Managing Partner. This pivotal role requires a highly organised individual who can navigate a multifaceted work environment and manage diverse responsibilities. To be successful, you will enjoy process but be even happier working in the grey!

This is a fast-paced role where no two days are the same. You will benefit from a hybrid working setup of 3 days in the office and 2 from home.

Duties will include:

  • Taking charge of managing various business projects, ensuring their successful execution, overseeing tasks, coordinating with teams, and ensuring alignment with business goals.
  • Acting as a vital support system for the Joint Managing Partner, ensuring they remain accountable for their responsibilities. Your role is to streamline their workload, allowing them to focus on critical tasks with efficiency and effectiveness.
  • Proactively ensuring that all necessary resources and support are in place for successful daily operations, anticipating needs, and providing solutions before they become challenges.
  • Going beyond traditional project and task management. As a strategic partner, you will refine ideas and contribute to more informed decision-making. Your insights and initiatives will be key in driving business success.
  • Acting as an extension of the Joint Managing Partner, managing tasks and teams on their behalf, embodying the strategic vision and leadership style of the Joint Managing Partner.
  • Prioritising and managing the Managing Partner’s complex schedule (they wear many hats within the organisation, including that of a fee-earning lawyer), ensuring efficient time management.
  • Board meeting administration, including minute-taking (at speed for busy meetings), preparing agendas, meeting packs, and chasing individuals on actions post-meeting.
  • Management of a busy email inbox – picking out and highlighting priorities, as well as managing the expectations of internal and external clients.
  • General administrative tasks including coordinating travel arrangements, managing expenses, and dictation.
  • Developing and implementing new processes to enhance efficiency and productivity, while playing an active part in key strategic projects.

Person Specification:

In this unique Executive Assistant role, you will need to bring energy and a proactive mindset. Due to the dynamic nature of the position, you will need to demonstrate quick thinking and embrace innovation while adapting to change.

You will need to be confident and willing to challenge and push when necessary. As a trusted member of the team, with access to the full leadership team, you will quickly build credibility and trust across the business, often acting as a sounding board for the Joint Managing Partner.

Key skills needed to be successful would include:

  • Proficient in Microsoft Office Suite
  • Exceptional communication skills, both oral and written
  • Ability to see the bigger picture and be a lateral thinker
  • Strong relationship-building capabilities and ability to adapt your communication style depending on the individual you are speaking to
  • Ability to produce high-quality work under pressure while maintaining full confidentiality
  • A motivated team player, commercially minded, calm under pressure, and able to work equally well autonomously and collaboratively
