Job Title: Executive Assistant / Office Manager

Contract Type: 1 Year Fixed Term Maternity Cover

A brilliant opportunity has arisen for an experienced Executive Assistant / Office Manager to join a growing global technology firm listed on the London Stock Exchange. This role is a 1-year fixed-term maternity contract, starting as soon as possible, and we are ideally looking for someone available to interview and start at short notice.

The role primarily focuses on providing EA support to the CEO, with secondary responsibilities split between office management/facilities for the London office and light support to the wider Senior Leadership Team (SLT).

Working closely with the CEO and the executive team will offer a fantastic viewpoint and the opportunity to learn about the corporate function, from legal and board-level decisions to analytics, marketing, publishing, sales, and digital products. The culture is supportive, agile, and professional, making it ideal for an Executive Assistant who enjoys a fast-paced, ambassadorial role that is broad in scope.

Key Responsibilities:

  • High Volume Diary Management: Schedule meetings for the CEO, staff reporting to the CEO, clients, and investors.
  • Meeting Preparation: Research external meeting attendees as needed and pass on relevant information.
  • Travel Arrangements: Book travel and accommodation via the travel system, including researching and presenting options.
  • Expense Processing: Monthly processing of expenses.
  • Liaison with PAs/EAs: Coordinate with external parties, including investors, banks, and other key stakeholders.
  • Event Planning: Organise summer and Christmas parties, including venue research and presentations of options.
  • Project Tracking: Keep track of and send reminders to the team on project deadlines.
  • Ad Hoc Project Work: Assist with various project tasks as required.
  • Office Management: Coordinate monthly health and safety checks, liaise with suppliers, and maintain kitchen and stationery supplies.
  • Front of House Duties: Welcome guests, manage post, screen calls, and occasionally order catering for board/client meetings. Arrange fortnightly lunch and learn sessions.

  • Proven ability to build relationships at all levels internally and externally.
  • Assertive and intuitive while remaining approachable and friendly.
  • Highly responsive with the ability to prioritise and sequence work appropriately.
  • Exceptional organisational and diary management skills.
  • High levels of flexibility and adaptability.
  • Maintain strict confidentiality and discretion.
  • Self-motivated with the ability to work independently.
  • Strong problem-solving skills, including the ability to suggest alternatives when necessary.
  • Excellent attention to detail.
  • Ability to manage multiple tasks and deadlines while maintaining composure under pressure.
