Job Title: Executive Assistant
Location: London
Salary: £50,000 - £55,000 (depending on experience)
Contract Type: 1 Year Fixed Term Contract
A fabulous opportunity has arisen for an exceptional Executive Assistant to support the CEO and Head of Operations of a global communications business. The role will involve managing diaries and schedules, organising meetings, preparing meeting materials and minutes, coordinating travel, events, and more!
This busy, varied, and interesting role is perfectly suited to an Executive Assistant with the ability to work flexibly and proactively, building strong working relationships with the wider EA team and global colleagues.
This role offers a mixture of remote and office-based working; typically 3 days a week in the office and during the CEO's travel to the UK.
Key Responsibilities:
- Flawless execution of confidential administrative activities, with a high attention to detail, organisation, and process.
- Proactively manage and maintain diaries, including scheduling meetings across time zones and coordinating movements.
- Arrange all meetings, including regular line management meetings, business planning sessions, board meetings, and company-wide gatherings. Attend meetings, help create agendas, collate supporting documents, take minutes, and note accurate actions, preparing comprehensive meeting summaries.
- Coordinate travel arrangements, including flights, accommodation, visas, itineraries, and transportation.
- Track travel and maintain a log of the Chairman & CEO's movements.
- Submit expenses.
- Coordinate performance management reviews and probation processes for the Chairman & Group CEO, Head of Global Operations, and designated line reports, arranging meetings and ensuring paperwork is completed in a timely manner.
- Assist with other private and confidential issues where appropriate.
- Manage all sensitive information and documents with the utmost discretion and confidentiality.
- Coordinate the production and distribution of various weekly/monthly reports.
- Prepare and edit presentations for business meetings, reports, and correspondence as required.
- Chair the Social Committee to help plan and execute internal and external events, including social, wellness, and charitable events.
- Demonstrate willingness to assist with administrative duties and projects as required.
- Be prepared to travel to HQ or other destinations to support key business meetings or events.
Person Specification:
- A minimum of 5 years’ experience in a similar role.
- High attention to detail and expert organisational skills.
- Excellent written and verbal communication skills.
- Advanced IT skills, with a strong command of Microsoft Office applications.
- Initiative, resourcefulness, and plenty of team spirit.
- Ability to work with discretion and maintain confidentiality.
- Professionalism and flexibility in a fast-paced environment.
