Executive Assistant
Location: City of London
Contract: 1-Year Fixed Term (Office-based with one day working from home)
Salary: Up to £60,000 pro rata (DOE)
We are currently recruiting an Executive Assistant to provide support to three members of the Senior Management Team, including the CEO, at a prestigious firm in London. This is an ideal role for an individual who enjoys delivering extensive and comprehensive support in a fast-paced and demanding environment. Alongside your core Executive Assistant responsibilities, you will also oversee and manage a team of four Personal Assistants across the firm.
Responsibilities:
- Extensive Diary Management: Efficiently manage changing schedules and last-minute requests.
- Team Management: Supervise a team of four Personal Assistants based in London.
- Gatekeeping: Act as the first point of contact for the CEO and two additional Executives.
- Meeting Preparation: Prepare daily meeting packs for the CEO, ensuring all appropriate documents are available.
- Action Item Management: Prepare the Senior Management Team for meetings, highlighting and scheduling action items, and diarising follow-up tasks.
- Travel Coordination: Organise international travel, including roadshows, flights, hotels, and transfers.
- Document Formatting: Format Word documents and prepare PowerPoint presentations.
- Expense Processing: Handle the processing of expenses.
- Conference Call Coordination: Arrange conference calls across multiple time zones.
- Project Support: Assist the Senior Management Team with specific projects and tasks as needed.
- Event Organisation: Responsible for organising specific events, such as SMT and Managing Partner off-sites, and collaborating on key events like the annual Investor Event.
- Administrative Management: Manage various administrative tasks and work closely with the Chief of Staff to organise SMT-related meetings.
Skills and Experience:
- Management Experience: Previous management experience is desirable.
- Diary Management: Proven experience in managing busy and changing diaries.
- Travel Coordination: Experienced in organising international travel and visas.
- Organisational Skills: Excellent organisational and time management skills, with the ability to multi-task and prioritise effectively.
- Interpersonal Skills: Strong interpersonal skills, with the ability to interact effectively with a range of people.
- Proactive Attitude: A flexible ‘can do’ attitude, with a proactive approach to anticipating requirements.
- Technical Proficiency: Comfortable using Outlook, Word, Excel, and PowerPoint; familiarity with Concur and travel booking systems would be helpful.
- Industry Knowledge: Experience in Asset Management, Private Equity, or Investment Management is desirable.
