Executive Assistant to CEO – Global Communications Business (10-Month Fixed Term Contract)
Location: London, Hybrid (3 days a week in office; remote when CEO is travelling)
Salary: £55,000 - £60,000 per annum (DOE)
Contract Duration: 10-month fixed term
A fabulous opportunity has arisen for an exceptional Executive Assistant to support the CEO of a global communications business. This role will involve managing complex schedules, organising high-profile meetings, coordinating travel arrangements, and playing a key role in various company events. Perfectly suited for an Executive Assistant with exceptional organisational skills and a proactive approach, this position requires a blend of administrative expertise and the ability to build strong relationships with a global team.
Key Responsibilities:
- Diary and Schedule Management: Manage the CEO's calendar, scheduling across time zones and coordinating all meeting logistics.
- Meeting Coordination: Arrange regular management and board meetings, company-wide sessions, and strategic planning discussions. Assist with agendas, prepare materials, take minutes, and compile meeting summaries.
- Travel Arrangements: Coordinate complex travel logistics, including flights, accommodation, visas, and transportation.
- Performance Management Support: Track review and probation processes for the CEO, Head of Global Operations, and other designated reports, arranging related meetings and documentation.
- Confidential Administration: Handle confidential information, assist with private matters, and maintain a strict level of discretion.
- Report and Presentation Preparation: Produce and edit presentations, reports, and correspondence for business meetings.
- Social Committee Leadership: Chair the Social Committee, planning and executing internal and external events, including wellness, social, and charitable initiatives.
- On-Site Support: Provide assistance at headquarters or other destinations as required for key business meetings and events.
Person Specification:
- Experience: Minimum of 5 years in a similar Executive Assistant role.
- Attention to Detail: Highly organised with exceptional attention to detail.
- Communication Skills: Excellent written and verbal communication abilities.
- Technical Proficiency: Advanced IT skills, including presentation software.
- Professionalism and Discretion: Demonstrates a high level of confidentiality and professionalism in a fast-paced environment.
- Flexibility: Able to work flexibly, including some travel, to meet the demands of the role.
