Executive Assistant
Location: City of London
Salary: Up to £40,000 per annum
A fantastic new opportunity has arisen for an Executive Assistant to work for an inspirational charity in the City of London. This is a permanent role offering hybrid working and excellent benefits.
Providing high-quality EA services to the Chief Executive and Directors, your responsibilities will include supporting work related to the Board of Trustees, organising events (both internal and with beneficiaries and other organisations), and involvement with projects and initiatives.
An ideal role for a proactive, highly organised Executive Assistant with superb attention to detail and a proactive approach to tasks.
Responsibilities include:
- Extensive meeting scheduling.
- Managing matters relating to the Board and Trustees, including recruitment, training, and documentation gathering (e.g., conflict of interest forms).
- Liaising with key stakeholders, including professional advisors such as lawyers and property advisors.
- Preparing agendas and coordinating reports for Board meetings in consultation with the Chief Executive and Chair of Trustees.
- Coordinating, attending, and taking minutes of Board and committee meetings.
- Supporting the Chair as instructed by the Chief Executive.
- Organising the annual Trustee Away Day and collaborating with the Communications Team and other staff to arrange ad-hoc events.
- Maintaining database elements, especially those related to governance.
- Ensuring the annual diary of events is up to date.
- Supporting the Company Secretary with submissions to the Charity Commission.
- Actively contributing to the staff team and supporting team wellbeing by scheduling team-building sessions throughout the year.
- Providing ad hoc support in line with the general responsibilities of the role.
Skills and experience required:
- A minimum of two years’ EA/PA/Senior Administrator experience.
- Experience of taking minutes and monitoring progress on action points.
- Excellent written and verbal communication skills.
- Highly organised and efficient, with the ability to meet tight deadlines.
- Event management experience.
- High standards of accuracy and efficiency.
- Ability to maintain confidentiality and discretion at all times.
- Courteous, friendly, and tactful with excellent interpersonal skills.
- Flexible team player willing to contribute and collaborate.
- Proficiency in MS Office applications (Word, Excel, Outlook).
- Alignment with the ethos and values of the charity.
