Position: Executive Assistant to Senior Partner (Full-Time, Permanent)

A fantastic opportunity has arisen for an experienced Executive Assistant to support the Senior Partner of a prestigious law firm. This role requires working closely with the Senior Partner to ensure the effective management of day-to-day activities, while also providing strategic and administrative support across the firm.

Key Responsibilities:

  • Diary management: Handling a complex diary with conflicting priorities, scheduling internal and external meetings.
  • Managing inbox email: Organising and filing emails within the firm's Document Management System (DMS).
  • Assisting with document preparation, including typing up handwritten amendments, drafting reports, and producing supporting materials.
  • Organising meetings, taking minutes, and circulating action points.
  • Managing travel arrangements: Organising flights, accommodation, and logistics.
  • Supporting board meetings and corporate team meetings, preparing agendas, minuting actions, and tracking follow-up tasks.
  • Liaising with internal and external clients: Acting as a point of contact for both internal partners and external clients, ensuring effective communication and timely responses.
  • Assisting with business development and marketing activities, including attending events and maintaining the firm's CRM system.
  • Providing project support and assisting with strategic initiatives as required.
  • Line management of administrative staff, mentoring and supporting their development.

Skills and Experience Required:

  • Minimum of 5 years' experience as an Executive Assistant, preferably within professional services or legal environments.
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel).
  • Excellent communication skills, both written and verbal.
  • Proven ability to manage confidential information and work autonomously.
  • Strong organisational skills, with a keen eye for detail and the ability to prioritise effectively.
  • Proactive attitude with a positive outlook and the ability to anticipate future needs.

Client Management:

  • Manage communications with high net worth individuals, business owners, and professionals (accountants, financial advisers, etc.).
  • Build strong relationships with clients and ensure the Senior Partner’s time is managed effectively to meet client needs.

Business Development & Marketing:

  • Record all business development activities in the CRM system and diary.
  • Organise events, seminars, and client meetings, coordinating marketing activities to promote the firm.
