Executive Assistant – Temp to Perm
Location: London (1 day per week working from home)
Salary: Up to £50,000 per annum (DOE) plus benefits and bonus

 

A brilliant opportunity has arisen for an Executive Assistant to join the London office of a reputable property company on a temp-to-perm basis.

You will provide first-class, proactive support to the Legal & Commercial Director, Finance Director, and the wider Legal Team. This role is ideal for a highly experienced Executive Assistant with a strong background in board-level or senior PA support, excellent attention to detail, and a proactive, can-do attitude.

 

Key Responsibilities:

  • Acting as a right hand to the Legal & Commercial Director, supporting the leadership of the Legal function, including full delegated diary management.
  • Building a close, trusted working relationship to ensure visibility of incoming mail and prompt action.
  • Liaising with parent company Legal, Commercial, Insurance, and CoSec teams on live matters.
  • Preparing Board reports and PowerPoint presentations.
  • Managing the shared legal mailbox, maintaining an organised filing structure, and removing duplicates.
  • Acting as a liaison between the in-house Legal Team and various internal teams and external legal firms.
  • Overseeing administrative tasks such as diary management, meeting scheduling, room bookings, travel arrangements, expense management, and document preparation.
  • Supporting systems used by the Legal Team to monitor budgets, performance, and protocols, and identifying areas for improvement.
  • Providing occasional backup support for front-of-house duties, including incoming calls, visitor arrivals, and meeting room setups.
  • Troubleshooting meeting room connectivity and IT queries in the absence of the Client Services Coordinator.
  • Updating and maintaining the electronic legal filing system.
  • Promoting modern methods of working to enhance efficiency within the team.
  • Assisting with ad hoc tasks as required.

Person Specification:

  • Excellent knowledge of Microsoft Office 365 Suite.
  • Proactive and able to work autonomously while using initiative.
  • Collaborative team player with a professional and approachable personality.
  • Strong organisational skills and the ability to remain calm under pressure.
  • Proven experience supporting at a senior level.
  • Exceptional communication skills, with the ability to liaise assertively and professionally across varying seniorities.
  • Previous experience in property or legal environments is desirable.
  • Experience producing and collating lengthy documents.
  • Familiarity with document management systems is a plus.
  • A keenness to grow and develop the role as the company evolves.
