Position: Executive Assistant (Full-Time, Permanent)
Location: Remote (Ideally within 2 hours of Hertfordshire)
Experience Level: 3+ years, similar or transferable experience

Our client, a forward-thinking Director in the premium drinks industry, is looking for a highly skilled Executive Assistant to provide comprehensive support on a permanent basis. This is a predominantly remote role, with occasional travel to Hertfordshire, so candidates based in the South of England or around London are preferred. However, candidates from other locations will be considered for the right fit.

This role is ideal for someone with transferable skills and experience, who is self-motivated, personable, and trustworthy.

Key Responsibilities:

  • Providing complete and confidential administrative support to the Director, including managing meetings and press interviews.
  • Organising UK and overseas travel, ensuring all documentation requirements are met in advance.
  • Managing the Director's diary and emails, acting as a gatekeeper by handling communications appropriately.
  • Liaising with journalists and agencies to arrange press interviews and speaker events.
  • Collating, processing, and reconciling the Director’s expense claims.
  • Managing compliance by liaising with contractors and ensuring all deadlines are met.
  • Supporting the Director with various ad hoc projects as required.
  • Conducting monthly bookkeeping and maintaining accounts on Xero.
  • Approving and processing payroll for a team of 5.
  • Managing budgets across multiple businesses and completing monthly budget reporting and analysis.
  • Handling supplier management for PR, accountancy, and business administration.
  • Supporting monthly board meetings by writing and filing meeting minutes.
  • Managing multiple company bank accounts and reconciling expenses on Xero.
  • Liaising with the Accountancy firm to ensure monthly and annual compliance.
  • Ensuring compliance with Companies House.

Person Specification:

  • 3+ years of similar or transferable experience, including diary management.
  • Self-motivated with the ability to take ownership of tasks with minimal supervision.
  • Pro-active, personable, and trustworthy, with a strong sense of discretion.
  • Experience handling confidential and sensitive information.
  • Excellent time management skills.
  • Experience using Xero for bookkeeping and invoicing.

Package Summary:

  • Hours: 9am-6pm, Monday to Thursday.
  • Location: Remote, ideally within 2 hours of Hertfordshire.

  • Tech: MacBook Air supplied, plus a phone contract covered up to £50 pcm.
