Executive Assistant to CEO (Holborn, London) – Luxury Commercial Real Estate | Salary: Up to £70,000
A well-established and growing luxury commercial real estate company based in Holborn, London, is seeking a dynamic and experienced Executive Assistant (EA) to support their CEO in this critical role. This is a true 1:1 EA position where the successful candidate will be an integral extension of the CEO, providing a seamless blend of business and private support. The role offers the unique opportunity to shape and grow the position over time.
The core aspects of the role are to support the CEO and Senior Management Team in the day-to-day running of the organisation and roll out initiatives. This role is highly varied but vital to help the company grow and run efficiently.
This is a predominantly office-based role with 4 days in the office (mainly based out of Holborn) and 1 day from home; however, travel to other sites in London will be required where necessary.
Duties will include:
- Supporting the CEO and MD with business and personal tasks.
- Acting as company secretary for the various companies within the group.
- Communicating with Senior Management, Investors, and other key stakeholders to organise and schedule meetings, manage agendas, and follow-up tasks.
- Responsible for the head office and in charge of its operation.
- Organising and facilitating board meetings.
- Supporting the Events Manager with the creation of events.
- Supporting the board in the management of the business.
- Championing the company ethos delivery and management across the business.
- Supporting the CEO & marketing team in any brand development tasks, including preparing presentation decks and conducting research for meetings.
- Managing various internal systems and following up with team members where required.
- Bringing forward new initiatives to further improve service and offering.
- Adding value and working closely with SMT to bring new ideas and processes to life and effectively contribute to the group.
- Reviewing, improving, and streamlining existing processes for the CEO, MD, and wider business.
- Maintaining strong working relationships with other relevant departments, including Finance, IT, Marketing, Sales, and Operations. Liaising with other staff members on behalf of Senior Management.
- Facilitating internal communication to the wider team (e.g. distributing information and scheduling presentations).
- Maintaining various employee-related platforms and ensuring training records are up to date.
- Preparation of presentation decks, including research for meetings.
- Running the employment award process.
- Continuous improvement of the company’s processes and systems.
Person Specification:
- Previous experience working as an Executive Assistant supporting at C-suite/Board level.
- Experience as company secretary beneficial.
- Excellent organisational skills with an ability to think proactively and prioritise work.
- Experience exercising discretion and confidentiality with sensitive company information.
- Ability to be hands-on when required and engage at a senior level with the business, supporting strategies.
- Confident, independent, and possess strong business acumen.
- Strong communication skills (via phone, email, and in person).
- Solid experience with IT systems – mainly MS Office.
- Advanced knowledge of PowerPoint, Outlook, and Excel.
- InDesign knowledge beneficial.
- Familiarity with cloud systems - SharePoint.
- Ability to work within allocated budgets.
