Job Title: Executive Assistant
Location: London (with regular travel)
Salary: £49,000 plus excellent benefits

A prestigious opportunity has arisen for an Executive Assistant to support a senior member of the Executive Leadership team of a renowned global sporting organisation.
The ideal candidate must be a confident gatekeeper who is professional, diligent, flexible, and dedicated in their approach to work. This role requires strong diary coordination, email management, and effective day-to-day task management, including some personal tasks.
Responsibilities:
- Administration of international travel and other logistical arrangements, including handling visa applications, passport renewals, flights, car rentals, hotel bookings, and restaurant reservations.
- Managing and rearranging constantly changing schedules, flights, and bookings while ensuring cost-effectiveness.
- Coordination of visits from clients, partners, and VIP guests.
- Full diary and in-depth inbox management in Outlook, including drafting responses, recommending actions to be taken, and filtering to appropriate personnel.
- Providing extensive support to the Head of Office Operations on a range of projects and initiatives.
- Collaborating closely with other EAs/PAs, particularly within the Executive Leadership team and the London office.
- Meeting and greeting key clients, setting up meeting rooms, and ensuring guest hospitality.
- Building strong relationships with internal and external stakeholders.
- General administration tasks, including managing expenses using Concur software.
- Preparing and understanding meeting decks, notes, and protocols to confidently prepare the CEO prior to meetings.
- Raising purchase orders and processing invoices.
- Event management and support.
- Ad hoc requests and errands, both business-related and personal, on and off-site.
Skills and Experience:
- Strong organisational skills with the ability to manage multiple tasks and deadlines effectively.
- Trustworthy and possessing integrity, capable of handling extremely confidential information without disclosure.
- A collaborative team player, skilled in project management and working with a diverse team of individuals.
- Excellent interpersonal skills, able to build strong relationships at all levels.
- A professional manner with excellent organisational capabilities.
- Strong proficiency in Microsoft Office, particularly Outlook, Word, PowerPoint, and ideally Excel.
- Impressive attention to detail in all areas of work.
- Flexible approach to work hours, with the ability to adjust to various time zones when required.
Preferred Competencies and Attributes:
- A keen interest in sport.
- Minimum of 3 years’ experience in diary management and international travel coordination.
- A strong project management background.
- Familiarity with top hotels, restaurants, and social venues in London.
