Executive Assistant – Construction and Property Services
Location: London (Hybrid, with occasional site travel)
Salary: £60,000 - £65,000 per annum (DOE) + benefits
Contract: Permanent
An exceptional opportunity has arisen for a highly skilled Executive Assistant to support the CEO of a leading UK-based construction and property services organisation. This permanent position requires a proactive, detail-oriented professional with extensive C-Suite experience to manage the CEO’s schedule, communications, and travel arrangements, ensuring seamless executive office operations.
Key Responsibilities:
- Calendar Management: Oversee the CEO’s calendar, coordinating appointments, meetings, and domestic and international travel arrangements.
- Travel Coordination: Arrange complex travel logistics, including flights, hotels, transportation, and itineraries.
- Meeting Preparation: Prepare meeting packs, reports, and presentations. Attend meetings, taking minutes and tracking action items with relevant stakeholders.
- Communication: Screen and prioritise incoming communications, including calls and emails, ensuring effective information flow on behalf of the CEO.
- Liaison Role: Serve as the primary point of contact for the CEO, managing inquiries from internal and external stakeholders.
- Document Preparation: Draft, edit, and proofread correspondence, reports, and presentations with professionalism.
- Confidentiality: Handle all sensitive information with discretion and confidentiality.
- Special Projects: Provide strategic and administrative support on ad hoc projects and initiatives, anticipating the CEO’s needs to ensure resources are ready.
Skills and Experience:
- Minimum 5 years’ experience as an Executive Assistant supporting at C-Suite level in a construction, property, or related industry.
- Exceptional organisational skills to manage a high volume of tasks, with attention to detail and accuracy.
- Outstanding written and verbal communication skills; adept at drafting professional emails, letters, and reports.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with scheduling tools (Outlook, Teams).
- Strong interpersonal skills with high emotional intelligence, able to build effective relationships with diverse stakeholders.
- Proactive and adaptable, with a problem-solving mindset and the ability to manage multiple priorities in a fast-paced environment.
This role is based in London and offers a hybrid work arrangement with flexibility to work from home 1-2 days per week. Occasional travel to company sites may be required.
