Temporary Executive Assistant

Contract: Temporary (2 months with potential for permanent conversion)

A fantastic opportunity has arisen for a Temporary Executive Assistant to support the CEO and CFO of a global commodities firm based in Mayfair, London. This busy and engaging role involves closely supporting senior executives to organise their business lives effectively.

This is an urgent hire, so candidates must be available immediately for interviews and ready to start. We are looking for a commitment of around 2 months, with the possibility of the role converting to a permanent position for the right candidate.

This position is ideal for a career-minded, ambitious, and dedicated Executive Assistant seeking a dynamic environment.

Key Responsibilities:

  • Manage multiple diaries and inboxes, synchronising with executive counterparts and direct reports.
  • Document management, including correspondence, preparing, formatting, and proofreading documents, as well as updating reports and spreadsheets.
  • Organise and attend meetings, drafting and distributing agendas, taking and distributing minutes, and monitoring and implementing action points.
  • Manage events by booking venues and accommodation, inviting delegates, and arranging speakers, workshops, and entertainment.
  • Arrange international travel, including multi-stop itineraries with detailed planning.
  • Process all expenses and manage procurement of invoices, ensuring accurate filing for record-keeping.
  • Stay up-to-date with ongoing projects and maintain knowledge of key issues.
  • Assist with research and be willing to help with ad hoc requests.

Person Specification:

  • 3+ years of experience as an EA or PA at a similar level.
  • Advanced Microsoft Office skills, particularly in PowerPoint and Excel.
  • Friendly and professional manner, with strong organisational skills and an excellent eye for detail.
  • Flexibility to manage changing priorities and maintain discretion in all matters.
  • A collaborative team attitude is essential.

Hours: 09:00 – 18:00, with one day a week working from home.
