Executive Assistant – Executive Search Firm – Manchester City Centre (Hybrid)
Our client, a leading Executive Search firm, is seeking a proactive and experienced Executive Assistant to join their team during an exciting period of expansion. This role will support Senior Partners and the wider team as they launch a new division in Manchester City Centre. It’s an excellent opportunity for a dynamic and driven individual to contribute to a highly successful business.
Key Responsibilities
- Manage extensive and complex diaries, scheduling meetings, and coordinating stakeholders across multiple time zones.
- Coordinate and manage travel arrangements, including visa applications and reservations.
- Oversee various projects with different complexities while meeting client-specific requirements.
- Act as a gatekeeper for Senior Partners/Partners, maintaining strict confidentiality for sensitive information.
- Build and maintain strong relationships with clients, candidates, and internal EAs.
- Produce and format client-facing documents to a high standard.
- Ensure timely delivery of project milestones by coordinating with stakeholders.
- Become an 'Invenias Super User' for the CRM system following training and ensure accurate data management.
- Prepare assignments for the client portal, ensuring data accuracy and quality.
- Support data quality and compliance efforts within the team.
- Collaborate with other EAs, covering phones and diaries as needed, and provide holiday/sickness cover.
- Positively contribute to client and candidate experiences through effective communication.

- Strong problem-solving and decision-making skills, with the confidence to make and challenge decisions on behalf of senior team members.
- Exceptional attention to detail, ensuring accuracy in documentation and communication.
- Ability to thrive in a demanding and deadline-driven environment while managing a varied workload.
- Robust personality with resilience, enthusiasm, and confidence to drive tasks forward.
- Proficiency in multitasking and prioritising in a fast-paced environment, with a proactive and positive outlook.
