Executive Assistant and Internal Events Manager – Manchester City Centre (Hybrid)

Our client, a market-leading tech company, is seeking a highly skilled Executive Assistant and Internal Events Manager to provide proactive support to the CEO while managing and coordinating internal events. This is an exciting opportunity to join a thriving business during a dynamic period of expansion.

The successful candidate will play a key role in ensuring the smooth operation of executive support functions while fostering a vibrant company culture through the organisation of engaging internal events.

Key Responsibilities

Executive Assistant Duties:

  • Proactively manage the CEO’s diary, coordinating meetings and events to maximise their time.
  • Ensure the CEO is fully prepared for meetings, including producing agendas, presentations, and follow-up actions.
  • Manage emails, calls, and files, streamlining systems to improve efficiency.
  • Arrange UK and international travel for the CEO and other executives.
  • Take minutes at Executive Board meetings and follow up on actions.
  • Organise board events and company-wide workshops.
  • Handle confidential and sensitive information with discretion.
  • Oversee expense claims, purchase orders, and payment follow-ups as needed.
  • Draft correspondence, reports, and presentations on behalf of the CEO.
  • Provide additional PA and administrative support to other executives when required.
  • Act as Health and Safety and Fire Safety Team Lead, chairing quarterly meetings and ensuring compliance with external regulations.

Internal Events Management:

  • Coordinate internal meetings, including external venue hire and catering arrangements.
  • Organise quarterly team-building activities, Christmas parties, and summer events.
  • Implement and oversee event plans, with backup measures for contingencies.
  • Perform post-event evaluations to champion continuous improvement.
  • Manage venue clearing and supplier payments after events.
  • Arrange volunteer days and coordinate company charity initiatives.
  • Compile and prepare presentation content for company events using Microsoft Office.
  • Create inclusive events with consideration for health, safety, and diversity.

  • Meticulous attention to detail, ensuring accuracy across all tasks.
  • Ability to excel in a deadline-driven, high-pressure environment.
  • Resilient and reliable personality with enthusiasm and confidence to drive tasks forward.
  • Proficient in multitasking and managing changing priorities.
  • Proactive, positive outlook and strong organisational skills.
  • Excellent communication skills, both written and verbal.
  • Proven experience supporting C-suite executives or board members.
  • Background in fast-paced commercial environments with a track record of managing conflicting demands.
  • Experience organising and coordinating corporate events.
  • High level of discretion and tact in handling confidential matters.
