Executive Assistant to the Executive Committee – Corporate Organisation
Location: Near Manchester Airport (4 days in office, 1 day from home)
Working Hours: 36.25 hours per week
Salary: Up to £45,000 per annum 

Our client, a prominent corporate organisation near Manchester Airport, is seeking a highly organised and experienced Executive Assistant to support the Executive Committee. This role is ideal for someone with significant experience working at the general counsel or board level, with essential skills in Board pack preparation, minute-taking, and project management (PMO) responsibilities.

About the Role:
As the Executive Assistant to the Executive Committee, you’ll provide comprehensive administrative and organisational support, working closely with the Senior EA on Board-related tasks and assisting with PMO duties. This position requires a professional who can work with discretion, handle complex schedules, and contribute to the smooth operation of high-level projects and meetings.

Principal Accountabilities:

  • Diary and Schedule Management: Organise and coordinate complex diaries, international travel, and accommodation arrangements.
  • Filing and Organisation: Maintain and update filing systems using available technology.
  • Meeting Facilitation: Organise agendas and paperwork, take minutes, and ensure smooth meeting flow.
  • Communication Management: Filter and prioritise incoming mail and calls, handling confidential information with discretion.
  • Inbox Management: Access ExCo member emails to manage inboxes, flagging urgent items.
  • Administrative Support: Handle copy typing, word processing, and corporate expense processing.
  • Visitor Hospitality and Light IT Support: Ensure a positive first impression for visitors and provide light IT support.
  • Satellite Office Support: Provide direction on policies and processes for satellite office locations.
  • Material Preparation: Assist with compiling Board meeting materials, including reports and presentations.
  • Documentation Distribution: Ensure timely delivery of Board materials to members.
  • Minute-Taking: Record detailed Board meeting minutes, promptly distribute them, and follow up on action items.
  • Project Tracking and Management: Maintain project plans, schedules, and status reports.
  • Meeting Facilitation: Organise project meetings, document minutes, and track action items.
  • Progress Monitoring: Identify project risks and work with stakeholders on mitigation plans.
  • Action Tracker Maintenance: Maintain an action tracker for tasks and projects, providing regular updates to ExCo.

Qualifications and Experience:

  • Proven experience as an Executive Assistant at the general counsel or board level in a corporate environment.
  • Strong organisational skills and attention to detail.
  • Proficient in Microsoft Office Suite.
  • Discreet with the ability to handle confidential information.
  • Project management experience, particularly in a PMO capacity.
  • Excellent communication skills, both written and verbal.
