A fantastic opportunity has arisen for an experienced Executive Assistant to support the CFO primarily, with some assistance to the COO, at a dynamic financial services company. This role offers a temp-to-perm opportunity, with the successful candidate working remotely for three days a week and spending the other two days in either the Brentwood or London office.
Executive Assistant
Location: Brentwood/London (Hybrid)
Salary: £35,000 - £45,000 per annum (DOE) plus benefits
Contract: Temporary to Permanent
Key Responsibilities:
- Manage all incoming communications for the CFO and COO, ensuring appropriate actions are taken, including responding directly or coordinating responses from the business.
- Oversee diary commitments, papers, and travel arrangements for the CFO and COO.
- Schedule and manage meetings between the CFO, COO, and their management teams/staff.
- Ensure performance reviews are scheduled for colleagues.
- Filter general information, queries, phone calls, and invitations to the CFO and COO, redirecting or taking forward contacts as appropriate.
- Serve as Secretary for any CFO and COO committees, preparing meeting agendas, taking accurate minutes, and ensuring actions are recorded and followed up.
- Produce high-quality documentation to support the CFO and COO, providing input where required.
- Identify and implement leadership support policies and procedures to enable a consistent approach and facilitate efficiencies.
- Proactively propose initiatives and improvements to enhance leadership support and the business unit.
Other Accountabilities:
- Assist with the Board process, helping to format the CFO and COO’s Board papers and ensuring timely submissions.
- Support the internal Performance Management Process, scheduling time in the CFO and COO's diaries for direct reports' objective-setting, mid-year, and final-year review meetings.
- Ensure the annual role profile review process is conducted by the CFO and COO teams and submitted to the Board and Executive Office Manager in a timely manner.
Essential Requirements:
- Previous experience within the financial services sector.
- Proven PA/EA experience supporting a finance executive (CFO/FD).
- Highly proficient in workload and process management with the ability to streamline working practices.
- Strong analytical skills and advanced Microsoft Office skills.
- Flexibility with working hours.
