Lily Shippen

Managing Director

Executive Assistant to Entrepreneur
Location: Remote (with occasional travel to Stoke-on-Trent)
Salary: Up to £45,000 per annum (DOE)
Contract: Permanent

A unique and exciting opportunity has arisen for an experienced, confident, and hard-working Executive Assistant to support a busy entrepreneur with multiple businesses and personal projects.

This role will develop into a fast-paced and hands-on position, with opportunities for growth over time. The position is predominantly remote, but requires someone who can travel to Stoke-on-Trent when needed, so successful candidates must be within an hour's commute.

Key Responsibilities:

  • Provide full EA and administrative support, including diary management, inbox management (drafting and responding to emails), organising meetings and events (venues, national and international travel, accommodation), and processing expenses.
  • Confidently manage tasks independently, without continual input from the Principal.
  • Manage the time and workload of the Principal by proactively identifying, undertaking, and delegating work and personal tasks, including personal paperwork such as ordering prescriptions, contacting councils, energy companies, ordering medication, etc.
  • Help identify opportunities for growth, strategise potential ideas, and assist in their implementation.
  • Act as a ‘gatekeeper’ for the Principal’s time, handling and prioritising enquiries, meetings, and actions.
  • Prepare and distribute reports, presentations, and communications.
  • Assist with hiring and managing staff members, helping to develop a robust hiring and managing process.
  • Work closely with stakeholders and employees, compiling reports and minutes when applicable. Ensure all actions are sent out and followed up.
  • Undertake research, prepare reports and presentations, ensure employees are on track, manage actions, and be the ‘go-to’ person.
  • Take minutes at meetings, ensuring all actions are sent out and followed up.
  • Act as an extension of the Principal, promoting the culture, values, and ethos of the company(s).
  • Create and build long-standing relationships with key internal and external stakeholders.

Person Specification:

  • Previous experience in an EA role, ideally supporting a busy entrepreneur or at a similar level.
  • Excellent organisation, prioritisation, and administrative skills.
  • Ability to take ownership of tasks, use initiative, and make decisions with limited supervision.
  • Proactive, with a strong initiative to see opportunities rather than problems.
  • Quick responder and efficient worker.
  • Strong work ethic and willingness to work hard.
  • High level of accountability, reliability, and follow-through.
  • Grounded, down to earth, with good morals.
  • Confident, personable, and professional with a ‘can-do’ attitude.
  • Open-minded, willing to learn new things and take on new challenges.
  • Ability to build long-lasting relationships with stakeholders while balancing social interactions to prevent excessive demands on the Principal.
  • Experience working in a fast-paced and demanding environment, always remaining calm and organised under pressure.
  • Trustworthy, honest, and demonstrates integrity.
  • Flexible and adaptable to changing priorities and projects.
  • Assist in identifying and solving operational challenges and developing strategic, data-driven initiatives.
  • Always follows through on promises and commitments.
  • Good listener but assertive when needed.
  • People person with strong communication skills, providing clear and concise updates and feedback.
  • Able to work independently and collaboratively, balancing initiative with teamwork.

This is a fantastic opportunity to add real value to a busy entrepreneur. You will be able to put your own stamp on the role, get involved in various businesses, and grow over time.
