Family Personal Assistant – West London | £50,000 - £75,000 | Permanent | Full-time
A fantastic opportunity has arisen for an experienced Family Personal Assistant to support two Principals (and their three children) based from their West London studio/office. This is a busy family in need of a top-level Private/Household PA to assist with the management of three private households in London, the UK, and Europe, alongside managing their personal, professional, and family schedules. This position also offers opportunities to contribute to projects such as the redevelopment of an overseas property and a local charity initiative.
The role requires a poised, calm, and highly organised individual who enjoys giving dedicated private support and is looking for longevity in their next role.
Key Responsibilities:
Family and Personal Assistant
- Manage the office/family diary, organising meetings and appointments for the Principals and children.
- Coordinate and research travel, visas, accommodation, and transfers for both business trips and family holidays.
- Act as the central point of contact for schools, household staff, and various business interests run and owned by the family.
- Oversee subscriptions, loyalty programmes, and memberships.
- Plan children’s extracurricular activities, tutoring, healthcare appointments, and other activities.
- Manage daily task lists with regular updates on all matters.
- Oversee MOT, tax, and resident parking permits for the family’s cars.
- Liaise with household staff (nanny, housekeeper, cleaner, etc.) and ensure smooth household operations.
- Liaise with the director’s office on email and telephone, as directed.
- Act as the first point of contact for general inquiries and liaise with schools regarding children’s schedules.
- Follow up on snagging lists for building renovations.
- Manage updates to the family’s art collection, liaise with galleries for consignment, repairs, insurance valuations, and inventory.
- Maintain detailed and organised files and systems.
Property Development / Household Management
- Work with Project Managers, architects, and contractors on the family’s second home abroad for an upcoming development and maintenance works.
- Track and manage snagging lists, furniture purchases, and deliveries.
- Coordinate project scheduling, follow-ups, and management.
- Maintain property maintenance schedules and ensure all parties are kept up to date on issues.
- Oversee the budget and liaise with the Finance Director regarding expenses, invoices, and payments.
Charity Management
- Liaise with supported organisations to manage all charity projects.
- Find innovative ways to generate revenue for local initiatives.
- Keep updated with charity organisations and provide regular updates to the Principals.
- Maintain and record the charity’s budget and expenditures.
Person Specification:
- Experience: 4+ years working as a PA/EA, ideally for a private family, with experience in household management.
- Skills: Clean UK driving license, confident in managing household staff and multi-property logistics, exceptional attention to detail, proactive and solution-focused.
- Personal Attributes: Self-motivated, organised, intuitive, discreet, and able to take initiative in high-pressure situations. A caretaker approach and a strong work ethic are essential, with the ability to manage and coordinate across multiple properties and tasks.
- Other: Availability for occasional out-of-hours contact and travel across the UK and Europe. This role provides a better work/life balance than expected for such a position.
Compensation & Benefits:
- Salary: £50,000 - £75,000 per annum (depending on experience).
- Full-time, office-based role with some travel required (UK and Europe).
