Role Overview:
The Marketing Assistant/Executive Assistant will be a key member of the leadership team, providing proactive, efficient, and high-quality administrative support to the very busy Director. The role demands accuracy, attention to detail and a solution-focused approach. The ideal candidate will be able to manage multiple tasks simultaneously, maintain confidentiality and contribute to the smooth running of the Director's office, all while supporting the wider business operations.
Key Responsibilities:
- Marketing Assistant: Overseeing daily marketing duties and assisting in various as hoc projects to ensure the continued growth of the business
- Diary & Calendar Management: Efficiently manage the Director’s calendar, ensuring all appointments and meetings are scheduled appropriately, and that necessary materials are prepared in advance.
- Product Development: Bringing samples and concepts to life for customers managing internal and external process flows
- Customer Service: Being point of contact for high value clients
- Internal and external events: Creation and day to day management/running of said events
- Email Management: Consumer queries to shared mailboxes (likely covered in one of your points)
- Interior design and Project management: Overseeing all elements of the office rebuild
- Email & Correspondence Management: Oversee and manage incoming communications, draft and send professional correspondence, and ensure that important matters are brought to the Director’s attention.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodation, and itineraries, ensuring a seamless experience for the Director.
- Meeting Support: Organise and prepare agendas for meetings, attend meetings to take accurate minutes, and follow up on action points.
- Document Preparation: Prepare and review reports, presentations, and other key documents, ensuring accuracy and professionalism.
- Project Coordination: Assist with various business initiatives and projects, managing timelines and resources to ensure successful execution (to include the office rebuild as above)
- Stakeholder Liaison: Act as a point of contact for internal and external stakeholders, maintaining positive relationships and ensuring the Director is well-informed on all matters.
- Confidentiality & Discretion: Handle sensitive information with the utmost confidentiality and professionalism.
- General Administrative Support: Provide general office support, including office management and liaising with other departments as needed.
Key Skills and Experience:
- Proven experience as a Marketing/ Executive Assistant to senior management, ideally within a fast-paced business environment.
- Excellent organisational and time-management skills with the ability to manage competing priorities.
- Strong digital specialism
- Strong communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels.
- High level of accuracy and attention to detail.
- Proactive and resourceful approach to problem-solving.
- Experience in managing confidential information and maintaining discretion.
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Experience with project management tools or business management software is desirable.
- A professional and flexible approach to work, with the ability to adapt to changing priorities.
Qualifications:
- A minimum of 3 years of experience in a similar role, supporting senior leadership.
