Office Manager / PA – Boutique Investment Advisory Firm | Salary: £18-£20 per hour

Office Manager / PA required for a boutique investment advisory firm in the City of London. This is an office-based, month-long temporary assignment (with potential for further extension).

The successful candidate will bring solid Office Management/PA experience and a proactive and flexible approach, along with the confidence to take ownership of tasks with limited direction. The role requires an excellent all-round understanding of business challenges and administrative processes, along with diary management and PA support.

Responsibilities include (but are not limited to):

  • Oversee facilities management and related contract administration (liaising with building management, suppliers, etc.), ensuring clear, timely communication to the wider team on any office-related updates.
  • Proactively manage any office/facilities-related issues that arise, minimising impact on the wider team.
  • Manage office supplies, equipment, and catering to ensure smooth operations.
  • Assist in budgeting expenses, seeking to optimise office-related costs.
  • Ensure a welcoming and professional atmosphere for clients and visitors.
  • Coordination of on-site meetings, including room preparation, catering, AV requirements, etc.
  • Booking and coordination of any off-site meetings, as required.
  • Provide administrative support to the banking team, including calendar management, travel bookings, and meeting coordination.
  • Preparation and distribution of documents for client meetings.

Skills and Experience:

  • Tech-savvy with experience in Outlook, Word, PowerPoint, and Excel, with an ability to pick up new systems, software, and apps quickly.
  • Independent thinker, highly organised, and self-motivated.
  • Confident communicator with client-facing experience.
  • Ability to identify areas for efficiency improvements.
  • First Aid and Fire Marshal training desirable.

This role will pay £18-£20 per hour (DOE).
