Team PA – FTSE 250 Organisation
Location: Altrincham (Predominantly Office-Based)
Salary: Up to £35,000 per annum (DOE) plus excellent benefits
A fantastic opportunity has arisen for a Team PA to join a friendly and growing FTSE 250 organisation based in Altrincham on a permanent basis.
This is a dual role, primarily providing PA support to the Executive Committee and wider team, with part-time Office Manager responsibilities to ensure the smooth running of the office. This role is ideal for a team player with previous experience supporting multiple Directors, who is eager to take on a varied and hands-on position.
This is a predominantly office-based role, with the potential to work from home one day per week.
Key Responsibilities
Team PA Responsibilities:
- Managing and maintaining diaries.
- Organising internal and external meetings.
- Supporting the team’s administrative requirements, including preparing documentation, reports, and presentations.
- Coordinating travel and accommodation arrangements.
- Organising events and conferences, including internal staff away days and external events.
- Maintaining electronic filing systems and ensuring GDPR compliance.
- Planning and scheduling training, coordinating delegate attendance.
- Filtering general information, queries, and phone calls as appropriate.
- Attending and minuting meetings as required.
- Assisting with expense submissions for the executive team.
Office Manager Responsibilities (2 days a week):
- Answering the switchboard, directing calls, and taking messages.
- Ensuring the building is accessible each day and secured at the end of the day.
- Preparing meeting rooms, ensuring cleanliness and AV/Teams call setups.
- Greeting visitors and providing refreshments as needed.
- Managing incoming and outgoing mail, distributing and logging invoices/statements.
- Ordering and restocking stationery and kitchen supplies.
- Organising lunch for meetings and clearing away afterwards.
- Managing bookings for meeting rooms and handling relevant email mailboxes.
- Assisting with ad hoc administrative duties, such as filing, scanning, database updates, and report preparation.
- Supporting the organisation of staff social events.
- Ensuring the office is kept clean and presentable.
Person Specification
- Previous experience as a PA.
- Familiarity with diary management, travel bookings, and accommodation arrangements is preferable.
- Excellent communication skills, both written and verbal, across all levels of the business.
- Strong organisational skills and the ability to organise others.
- Proficiency in Word, Excel, PowerPoint, Teams, and Outlook.
- Ability to work both collaboratively within a team and independently.
- Strong workload management skills with the ability to prioritise effectively.
- High attention to detail and the ability to meet tight deadlines.
- Discretion and professionalism when handling confidential or sensitive matters.
