An urgent opening has arisen for a Personal Assistant to join a global consultancy business on a 4 month Fixed Term contract. This is a fabulous opportunity for a proactive Personal Assistant with fluent German language skills and significant experience of invoicing and financial administration.
The Personal Assistant will support enjoy a varied and demanding role, taking ownership of tasks while working collaboratively with the wider team.
Senior PA with fluent German language skills
Location: London
Salary: £42k plus 13% average bonus (pro rata)
Contract: 4 month FTC
Hybrid: 3 Days in the Office & 2 Days WFH.
Role Responsibilities:
- Provide high-level PA support, including calendar management, meeting coordination, travel booking, and general administrative tasks.
- Manage invoicing for projects, including creating, reviewing, and processing invoices on a Time & Materials (T&M) basis or fixed fee structure.
- Handle a high-volume workload for approximately 60-80 ongoing projects.
- Process and manage expenses, ensuring proper charge-back to clients.
- Pull timesheet reports from the company system (workday) and process them as part of invoicing.
- Chair bi-weekly invoice meetings with Directors, ensuring updates to the practice project spreadsheet.
- Coordinate and attend monthly finance team meetings and provide detailed updates on project invoicing.
- Prioritise workload effectively, especially during peak periods, to ensure timely and accurate invoicing.
- Liaise with colleagues at all organisational levels to gather necessary information and address any invoicing or project-related queries.
Skills and Experience:
- Previous experience in a PA role with significant exposure to project invoicing and financial administration.
- Proficiency in handling different types of invoices and familiarity with VAT regulations, with the ability to accurately charge back expenses.
- Experience working with supplier and procurement platforms.
- Strong organisational skills and attention to detail.
- Ability to multitask and prioritise tasks under tight deadlines.
- Strong communication and interpersonal skills for effective collaboration.
- Proactive problem-solving approach and ability to work independently.
