Personal Assistant (12-Month FTC)
Location: City of London

 

We are delighted to be working with a global investment business renowned for its collaborative, welcoming, and professional working environment to hire a Personal Assistant on a 12-month fixed-term contract. This role will support three MDs and a small team of analysts (largely self-sufficient), offering an integral and valued contribution to the organisation.

 

Key Responsibilities:

  • Diary Management: Coordinating and managing extensive diaries, organising and rescheduling meetings, and handling all associated logistics (dial-ins, video conferences, travel, meeting rooms, and catering). Ensuring the diary accurately reflects all commitments, including private ones.
  • Global Travel Management: Arranging all travel logistics, including airport transfers, accommodation, visas, and admin. Preparing detailed travel itineraries.
  • Inbox Management: Acting as a gatekeeper, flagging emails requiring action, responding on behalf of the MDs where appropriate, and keeping inboxes decluttered and organised.
  • Proactive Problem Solving: Anticipating potential issues and resolving them proactively.
  • CRM Management: Logging client meetings and meeting notes in the CRM system.
  • Event Organisation: Organising client lunches, dinners, and entertainment, both internally and externally.
  • Expense Reconciliation: Managing and submitting expenses via Concur.
  • Relationship Building: Building strong working relationships with team members, secretaries, and staff across the business, as well as clients, industry peers, and senior management.
  • Client Documentation: Preparing invoices, mandate letters, and other documentation for client pitches.
  • Personal Errands: Providing occasional personal support to the MDs as required.

  • Highly organised with exceptional attention to detail.
  • Proficient in managing complex diaries and travel arrangements.
  • Skilled in building and maintaining professional relationships.
  • Experienced with expense management systems like Concur.
  • Proactive, resourceful, and adept at problem-solving.
  • Familiar with CRM systems and confident in managing client-related tasks.
