Personal Assistant – Global Investment Firm (Fixed-Term Contract)

Location: City of London (Hybrid: 1 day per week working from home)
Salary: Up to £55,000 per annum pro rata (dependent on experience) + completion bonus
Contract: 9-month Fixed Term Contract (start date: September)

A fantastic opportunity has arisen for an experienced Personal Assistant (PA) to join a prestigious global investment firm on a 9-month Fixed Term Contract. This role is ideal for a proactive, detail-oriented individual with a strong background in supporting senior executives within the Financial Services sector.

You’ll be providing PA support to two incredibly busy MDs, managing complex global travel, diary coordination, and inbox management, as well as offering team-wide assistance with expenses, event coordination, and ad hoc projects.

Key Responsibilities:

  • Diary Management: Handle complex schedules across multiple team members, ensuring meetings run smoothly.
  • Event Coordination: Organise Board meetings, investment committees, AGMs, and team off-sites.
  • Travel Arrangements: Coordinate domestic and international travel, preparing comprehensive itineraries.
  • Expense Management: Reconcile expenses accurately and promptly.
  • Gatekeeping: Manage email communication, flagging urgent requests and ensuring follow-ups.
  • Client Liaison: Build and maintain professional relationships with clients, external companies, and colleagues.
  • Minute-Taking: Prepare accurate minutes for meetings as required.
  • Document Preparation: Draft and amend documents using advanced MS Office skills.
  • CRM Database Management: Ensure contact information is up-to-date, enter meeting notes, and create reports.
  • Team Support: Provide cover and assistance to other Assistants and maintain team equipment and supplies.
  • Absence Management: Oversee all absence processes for the team.

Skills and Experience:

  • Proven experience as a Personal Assistant supporting senior executives within Financial Services.
  • Advanced proficiency in MS Office (Word, Excel, PowerPoint).
  • Exceptional organisational and time management skills, with the ability to prioritise and multitask.
  • Strong interpersonal and communication skills at all levels.
  • High level of discretion and ability to maintain confidentiality.
  • A proactive, reliable, and flexible approach, with excellent attention to detail.
  • Ability to work under pressure and meet tight deadlines.

Additional Details:

  • Working Hours: 8:30 am – 5:00 pm.
  • Hybrid Working: 1 day per week working from home.
  • Start Date: September 2024.
