Job Title: Personal Assistant
Location: South West London
Contract: 1-Year Fixed Term
A fabulous opportunity has arisen for a Personal Assistant to join a prestigious design practice in South West London. This is a 1-year Fixed Term Contract, and we are looking for someone available at short notice to interview and start. This hugely successful and prestigious business is seeking an eloquent, intelligent, professional, and unflappable Personal Assistant who is excited to play an integral role and make a significant contribution.
The role sits within the CEO Executive Office, and you will work closely with the team to ensure the Founder/Chairman’s business and personal life runs seamlessly. This is a busy and demanding position with full responsibility for managing complex diaries and schedules, arranging meetings, producing agendas, and arranging international travel.
This is an ideal position for an individual looking for an ambassadorial role in a creative, agile environment. You’ll be excited to work with captains of industry and gain great insight into the art world.
Duties will include:
- First point of contact/gatekeeper
- Managing busy and changeable diaries and schedules
- Arranging meetings, producing agendas, documents, and papers
- Arranging international travel and producing itineraries (visas, transfers, booking restaurants)
- Public profile management
- Correspondence management – reading, prioritising, and actioning all correspondence on behalf of the Chairman
- Fast and accurate typing - Chairman often composes in longhand, requiring accurate transcription
- Expenses and invoice management
- Undertaking research and project work
Experience/Skills:
- 1:1 PA support for at least 2 years
- Ability to plan ahead and remain flexible as travel plans change
- Attention to detail
- Proficient with methodical tracking systems/processes ensuring all requirements on Chairman’s To-Do list are captured and processed
- Clear and open communication ensuring seamless knowledge transfer to all support team members at all times
- Must demonstrate a calm, confident, and professional demeanour at all times, particularly under intense pressure
- Creative problem-solving and solutions-oriented mindset
- Ability to effectively build relationships
- Team player able to work independently and proactively
This role will pay up to £45,000 plus an excellent benefits package, including a discretionary bonus.
