A brilliant opportunity has arisen for a Practice Assistant to join a leading professional services firm based in the heart of the city on a permanent, full-time basis.

This global law firm boasts a fantastic culture, making it an excellent place to work. This role is perfect for someone with prior administration experience (ideally as a Legal Secretary) within a professional services environment, seeking a busy role supporting a growing department.

The successful candidate will gain valuable exposure in a fast-paced environment, working for a reputable and well-regarded organisation in their sector.

Key Responsibilities

  • Managing calendars proactively, scheduling calls/meetings, ensuring all supporting papers/information are available, and handling follow-ups as needed.
  • Acting as a first point of contact for the department, fielding calls, emails, correspondence, and meeting requests, and responding on behalf of the team when appropriate.
  • Assisting with the invoicing process, obtaining authorisation, and liaising with accounts for timely payment.
  • Monitoring unpaid bills and addressing them with Accounts as required.
  • Organising business breakfasts, dinners, or smaller events, and assisting fee-earners with expenses.
  • Supporting the team in managing the client/matter lifecycle, ensuring all required documentation is obtained, issued, and correctly stored according to procedures.

Person Specification

  • Proven experience in an administration role within professional services (ideally as a Legal Secretary).
  • Previous experience supporting Partners.
  • Ability to maintain confidentiality and handle sensitive issues.
  • Highly organised, methodical, and adept at juggling multiple priorities.
  • Strong IT skills, particularly in Microsoft Word and Excel.
  • Excellent attention to detail and accuracy.
  • Proactive with a 'can do' attitude, taking the initiative where required.
  • Strong teamwork skills.
  • Willingness and enthusiasm to learn.
