Personal Assistant & Office Manager – Investment Management (Bond Street, London)
Location: Bond Street, London
Salary: Up to £60,000 per annum (DOE) plus benefits and bonus
A fantastic opportunity has arisen for an experienced Personal Assistant & Office Manager to join a newly established investment management business in London, near Bond Street. Key Responsibilities
Personal Assistant to Co-Founders:
- Diary Management: Organise and manage the Co-founders’ diaries, scheduling appointments and meetings, and providing timely reminders.
- Communication: Screen incoming calls, emails, and post, ensuring efficient follow-up.
- Travel Coordination: Arrange all company travel and accommodation, including travel visas where required.
- Meeting Preparation: Set up meeting rooms, order refreshments, and circulate board packs to board members in advance.
- Document Management: Proofread documents, highlight key points, and ensure timely circulation and filing of important documents.
- General Administration: Provide ad hoc private/personal support and manage expense claims as needed.
Office Manager:
- Office Operations: Oversee office inventory and supplies, ensuring smooth daily operations.
- Vendor Liaison: Negotiate and establish corporate rates with travel and accommodation providers, manage office repairs, and liaise with contractors and suppliers.
- Financial Administration: Authorise invoices for payment and reconcile credit card statements monthly.
- Insurance and Property Management: Arrange annual insurance for buildings, health, travel, etc.
- Professional Image: Uphold a professional image and handle all matters with confidentiality.
Person Specification
- Experience: Previous experience as a PA supporting at a senior/CEO level, with office management responsibilities.
- Skills: Proficient in Microsoft Office (Word, Outlook, PowerPoint, Excel).
- Attributes: Proactive, flexible, and adaptable, with strong verbal and written communication skills. Skilled at multitasking in a fast-paced environment.
- Team Player: Collaborative and comfortable in a small team, willing to take on varied tasks.
- Discretion: Able to handle sensitive information with confidentiality and professionalism.
