Job Title: Personal Assistant
Location: Greenock, Scotland
Salary: £35,000 - £50,000 per annum (DOE) plus benefits

A fantastic opportunity has arisen for a Personal Assistant to join a reputable commodities organisation based in Greenock, Scotland on a permanent basis. This varied and hands-on role supports the CEO of a business with a global reach and is full-time office-based.

There is scope for this role to grow over time for the right candidate. The position would suit someone with previous experience supporting at a senior level, for whom no job is too big or too small.

Key Responsibilities:

  • Full diary management and organising meetings.
  • Arranging travel, visas, and accommodation for the CEO and other staff as necessary.
  • Sending out communications on behalf of the CEO.
  • Coordinating Christmas cards and gifts, as well as arranging the Christmas night out.
  • Organising events and dinners when required, including invitations and maintaining the invite list.
  • Coordinating Manchester United matches, guests, and travel arrangements.
  • Managing several mailboxes and handling both business and personal mail.
  • Meeting and greeting visitors/customers and ensuring smooth running of any visits.
  • Handling all internal bookings for meeting rooms.
  • Summarising bank statements on a monthly basis.
  • Ensuring the smooth running of the office, including inventory and supplies management.
  • Liaising with the landlord for repair work and office requirements.
  • Coordinating with office contractors and suppliers as appropriate.
  • Composing and sending out introduction and follow-up emails, as well as general correspondence.
  • Providing low-level HR support, such as sending out reference checks and tracking annual leave.
  • Offering private support to family members, assisting with birthday events, trips, vehicle administration, utilities for properties, liaising with agents, and managing personal bank accounts.

Person Specification:

  • Previous experience in a PA role supporting at a senior/CEO level.
  • Ability to use initiative and be proactive.
  • Confident in managing multiple tasks in a fast-paced environment.
  • Team player who is willing to roll up their sleeves and get involved.
  • Professional, discreet, and trustworthy.
  • Flexible and adaptable to meet changing business needs.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office packages including Word, Outlook, PowerPoint, and Excel.
  • Well-presented and able to build rapport with individuals at all levels of seniority both internally and externally.
