An outstanding opportunity has arisen for a proactive and adaptable Personal Assistant to join a reputable commodities organisation in Greenock, Scotland, supporting the CEO. This is a varied, hands-on role in a company with global reach, ideal for someone who enjoys taking on a range of tasks and has experience supporting senior executives.

About the Role:
As the Personal Assistant to the CEO, you will be responsible for managing day-to-day operations, from diary management to event coordination, travel arrangements, and providing private support. This is a unique role that combines traditional PA duties with responsibilities in office management and low-level HR support, making it ideal for a high-calibre professional who thrives in a busy and fast-paced environment.

Duties Include:

  • Diary and Schedule Management: Full diary management, including organising meetings.
  • Travel Coordination: Arrange travel, visas, and accommodation for the CEO and other staff as needed.
  • Communications Support: Draft and send communications on behalf of the CEO, coordinating Christmas cards and gifts.
  • Event Planning: Organise events and dinners, manage invites, and coordinate Manchester United match attendance for guests.
  • Mailbox Management: Oversee several mailboxes, handling both business and personal correspondence.
  • Visitor Coordination: Welcome and manage visitors, ensuring smooth operations during any on-site meetings or events.
  • Office Management: Ensure office operations run smoothly, maintaining inventory, handling repairs, and liaising with landlords and contractors.
  • Financial Administration: Summarise bank statements monthly and manage personal financial tasks for the CEO.
  • HR Support: Assist with low-level HR tasks, including reference checks and tracking annual leave.
  • Private Support: Provide support with family-related events, trips, vehicle administration, and property management.

Person Specification:

  • Experience: Proven experience as a PA at a senior or CEO level.
  • Proactive and Adaptable: Able to take initiative and effectively manage multiple responsibilities.
  • Team Player: Willing to assist where needed, with a hands-on approach.
  • Professional and Discreet: Trustworthy with excellent attention to confidentiality.
  • Flexible and Resilient: Adaptable to meet evolving business needs.
  • Communication Skills: Strong verbal and written communication skills.
  • IT Proficiency: Skilled in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel).
  • Personable and Presentable: Able to build rapport at all levels, both internally and externally.
